Assistant Project Manager

With over 55 sports and entertainment projects and more than 2,500 consulting engagements, CAA ICON has managed the development of many of the world’s most successful venues.

Overview

As an Assistant Project Manager (APM) consultant, you will support CAA ICON Project Managers, Directors, and Executives throughout all stages of large‑scale sports and entertainment venue projects—including permitting, design, construction, testing, and handover. Your responsibilities will include document control, communications, and all administrative functions to support the project team.

Duties

  • Provide technical and administrative support to Executives in the preparation of owner’s/client project briefs, RFPs for project consultants, client reports and presentations, and direct work package tenders.
  • Attend all regularly scheduled project and construction meetings (where necessary) and maintain minutes of all relevant meetings.
  • Maintain project tracking logs, including design compliance, risk and opportunity registers, open RFIs, non‑conformance registers, and submittals.
  • Assist in preparation of each project monthly pay application for processing.
  • Assist with document filing, meeting scheduling, and logistics of the project team.
  • Perform other project administration tasks as required.

Qualifications

  • Previous experience in design, construction, engineering, or related services industry.
  • Bachelor’s degree (ideally in construction, architecture, engineering, finance, or related field) and/or equivalent work experience.
  • Detail‑oriented, organized, creative, analytical, and collaborative.
  • Exceptional communication and organizational skills.
  • Strong multitasking ability and problem‑solving skills.
  • Familiarity with Microsoft Office (Word, Excel, Project, Teams, OneDrive, PowerBI, Planner, etc.) is essential.
  • Familiarity with Adobe Creative Cloud Suite or Bluebeam Revu is beneficial.
  • Proficiency in Italian and English is required.
  • Ability to translate documents between English and Italian.
