About the Firm

Your role and responsibilities

As an Executive Assistant, you will provide dedicated support to our Partner and Head of Investor Relations and Strategic Partnerships, ensuring his priorities are managed efficiently and seamlessly. You will also provide occasional support to the wider Investor Relations team, assisting with coordination and follow-up on extraordinary projects as they arise, including but not limited to managing complex scheduling tasks, following up proactively to arrange meetings, coordinate with external advisors to arrange roadshows.

We are looking for someone who is organized, proactive, and adaptable, with at least 5 years of experience in structured, international environments — ideally within the financial or banking sector — and who is comfortable operating in a fast‑paced, demanding context.

In this role, you will combine discretion, reliability, and problem‑solving skills to anticipate needs, streamline workflows, and ensure the Head’s agenda runs efficiently. You will need the ability to understand priorities and support the stakeholder in navigating numerous responsibilities and commitments, bringing structure, clarity, and helping him keep everything on track.

Main tasks include :

  • Manage calendars, schedule meetings, and coordinate complex appointments and events
  • Manage complex and dynamic travel arrangements, including flights, accommodations, and itineraries
  • Screen and manage communications, including emails and phone calls, ensuring timely responses
  • Draft correspondence and prepare documentation with accuracy and attention to detail
  • Manage client and stakeholder relationships with professionalism and discretion
  • Support project management and ensure deadlines are met
  • Provide occasional support to the wider Investor Relations team, assisting with coordination and follow‑up on key activities as needed.
  • Prepare and process expense reports, invoices, and light bookkeeping tasks
  • Collaborate effectively with internal teams across the Firm to facilitate smooth operations
  • Occasionally step in to cover reception duties when required (e.g. during colleagues’ absence)

Your Skills

  • At least 5 years of experience in a personal assistant or executive assistant role, ideally in structured international companies
  • Background in the financial or banking sector is considered a strong plus
  • Positive, dynamic and professional attitude, with strong interpersonal skills
  • Highly reliable, trustworthy, and discreet — confidentiality is essential
  • Strong organizational and time‑management skills, with a hands‑on approach and ability to work under pressure
  • Precise, detail‑oriented, and able to manage last‑minute changes effectively
  • Proactive problem‑solver who anticipates needs and takes initiative
  • Flexible and collaborative, with excellent written and verbal communication skills
  • Fluent in English and Italian (both written and spoken)
  • Comfortable using technology and digital tools, with the ability to adapt to new systems quickly
