Workforce Transportation & Vehicle Fleet Manager, MICO26 – Olympic & Paralympic Games

As the Workforce Transportation & Vehicle Fleet Manager for On Location during the 2026 Milano Cortina Olympic Games, you will play a critical role in ensuring that our Workforce can be in the right place at the right time, by safe, efficient, and cost-effective use of our fleet of staff vehicles, ensuring a seamless operation and optimal utilization of the vehicle fleet, and associated drivers where applicable, across and between all Olympic clusters.

Reporting to the Senior Manager of Workforce Operations, you will:

  • Map our fleet of company vehicles to the collated requirements provided by Functional Areas, to ensure sufficient vehicle & driver coverage
  • Work closely with the Transportation department and the vendor(s) to ensure any operational issues are resolved promptly
  • Review and confirm the allocation, scheduling and dispatching of vehicles for staff, including scheduled inter-cluster shuttles, self-drive vehicles, and vehicles with drivers, including the scheduling of drivers.
  • Oversee the upkeep and maintenance of the entire fleet.
  • Ensure compliance with all local and Olympic regulations.
  • Ensure comprehensive driver training and development programs are implemented to maintain the highest standards of service and safety, including driving in winter conditions and how to put on snow chains.

Key Responsibilities

  • Fleet Management:
    • Manage and oversee the entire vehicle fleet across all Olympic clusters:
    • Milano
    • Valtellina
    • Cortina / Anterselva
    • Val di Fiemme
    • Confirm vehicles and vehicle type per cluster and adjust the fleet as needed within contractual obligations and limitations.
    • Ensure the optimal use of vehicles for various groups,
    • Monitor vehicle availability to ensure smooth and efficient operations.
    • Coordinate and manage the schedules, working hours, and calendars of a team of dedicated drivers to ensure efficient operations and compliance with labor requirements
    • Oversee the upkeep and maintenance of the entire vehicle fleet to ensure optimal performance and safety
    • Ensure compliance with all contractual obligations set by vehicle vendors and insurance providers
  • Driver Training and Safety:
    • Liaise with Vehicle Vendors to develop and implement a comprehensive driver training program to ensure all drivers are proficient in safety protocols, customer service, and event-specific requirements.
    • Develop and conduct training on Olympic driving regulations and restrictions and specific venue transport spaces (such as P7, P6, P2, Load zones and other applicable transport areas in and around venues).
    • Develop and conduct training for our internal staff who will be driving vehicles, ensuring that they are confident in Italian driving regulations, winter driving conditions, and how to put on snow chains.
  • Vendor Management:
    • Manage daily relationships with vehicle and driver service providers across clusters.
    • Monitor delivery and service-level agreements to ensure cost-effectiveness and quality of service.
    • Monitor vendor performance and compliance with contractual obligations.
    • Monitor Vehicle needs per cluster and increase or decrease vehicles where needed.
  • Financial and Resource Management:
    • Manage the Workforce Transportation budget, ensuring cost-effective use of resources, and that costs are recharged to the relevant functional areas in liaison with Finance.
    • Develop and implement strategies to minimize unnecessary vehicle use, reduce environmental impact, and maximize efficiency.
    • Track expenditures and generate regular reports on fleet performance and costs.
  • Logistics and Planning:
    • Develop a comprehensive fleet operations plan, including contingency plans for unforeseen circumstances.
    • Coordinate vehicle allocations, route planning, and scheduling to ensure timely transportation services.
    • Allocate and manage parking and circulation permits for applicable vehicles, ensuring compliance with regulations and site requirements
    • Identify and manage secure and efficient parking solutions for the entire vehicle fleet
    • Develop and implement a vehicle booking system to streamline requests and support operational needs
  • Reporting and Compliance:
    • Ensure compliance with local transportation laws and Olympic Regulations in all clusters.
    • Prepare detailed reports and analyses for senior management on fleet utilization, costs, and performance.
    • Collect and verify all driver paperwork to ensure accuracy and compliance

Qualifications And Experience

  • Proven experience in vehicle fleet management and/or transportation logistics in a large-scale Sport event environment, preferably The Olympic Games and/or winter environment.
  • Strong experience managing transport vendors and multi-site operations.
  • Experience in designing and conducting driver training programs.
  • Familiarity with the geographical and logistical challenges of the Milano Cortina Olympic clusters is a plus.

  • Excellent organizational and problem-solving skills.
  • Proficiency in Excel to automate daily processes, change management and reporting
  • Strong vendor contract management abilities
  • Exceptional communication and interpersonal skills, with the ability to work effectively with multiple and diverse teams at all levels.
  • Multilingual skills (Italian and English required; additional languages are a plus).
