Overview

We are looking for an experienced Payroll System Specialist to join team.blue. In this role, you will oversee the successful implementation, optimization, and migration of payroll systems across internal entities. You will lead the end-to-end process of transitioning payroll data, configuring systems, and ensuring compliance with local legislation. Working closely with HR, Finance, and Tech teams, you will ensure a smooth rollout and ongoing efficiency of payroll operations within team.blue.

Key Responsibilities

  • Project Set-up & Planning: Work with HR and Finance to organize and run project kick-off meetings; develop and maintain project plans for payroll system implementation and data migration; track milestones and deliverables to ensure timely rollouts.
  • Internal Stakeholder & Project Management: Coordinate with internal teams (HR, Finance, IT, Legal) on requirements gathering and process design; support review meetings, escalate risks, and manage changes to scope or timelines; ensure smooth alignment of payroll processes across multiple countries/entities.
  • Payroll Process Design & Requirements: Define and document internal payroll processes, calendars, and reporting requirements; configure payroll systems to meet company needs and statutory requirements; establish controls to ensure compliance with tax, social security, and labour laws.
  • System Implementation & Data Migration: Lead payroll system configuration, including integrations with HRIS, finance tools, and reporting systems; manage payroll data migration from legacy systems, ensuring accuracy, security, and confidentiality; conduct parallel runs and validations before go-live to ensure accuracy.
  • Testing & Go-Live: Develop and execute testing plans to validate system setup and payroll accuracy; coordinate first live payroll runs, document results, and address discrepancies; ensure sign-off and knowledge transfer to payroll operations teams.
  • Documentation & Reporting: Maintain up-to-date documentation on payroll processes, configurations, and controls; generate and map GL payroll reports for Finance teams; provide regular status reports to leadership on progress, risks, and deliverables.
  • Change Management & Training: Drive change management efforts to ensure smooth adoption of new payroll systems; provide training and guidance to HR and payroll teams on new processes and tools.
  • Process Excellence & Compliance: Drive payroll and expense process improvements and standardization across the group, enabling local adaptations while ensuring efficiency, audit readiness, and compliance; monitor legislative changes, conduct regular audits, and collaborate with stakeholders to uphold governance with clear procedures.

Qualifications

  • 5+ years of experience in payroll implementation or payroll operations, ideally across multiple countries.
  • Strong knowledge of payroll processes, compliance, and regulations in the EMEA region.
  • Hands-on experience with payroll systems and integrations (experience with Papaya is a plus).
  • Proven experience managing cross-functional projects.
  • Excellent communication, stakeholder management, and problem-solving skills.
  • Ability to handle multiple projects and deadlines.
  • Project management certification (e.g., PMP) is a plus.
  • Bachelor’s degree in HR, Business, Finance, or related field.
