BACK OFFICE & SECRETARY – COSMETICS INDUSTRY

Milo Milano Srl, a company operating in the cosmetics industry, is looking for a Commercial Back Office & Secretary to provide comprehensive operational, administrative, and organizational support to the office and daily business activities.

Responsibilities:

  • handling incoming and outgoing communications (phone, email, correspondence)
  • managing calendars, meetings, and internal and external communications
  • coordinating follow-ups after meetings and agreed actions
  • carrying out commercial back office and secretarial activities
  • providing administrative support to the sales team
  • preparing documents, reports, and presentations
  • filing and archiving documents and overseeing proper information flow
  • coordinating office suppliers and services (office maintenance, cleaning, servicing, security)
  • organizing and ensuring the smooth day-to-day operation of the office and shared spaces
  • ordering office supplies and overseeing office equipment
  • monitoring contracts, deadlines, and related documentation
  • receiving and sending courier shipments
  • collaborating with internal departments and the international headquarters

Requirements:

  • Knowledge of Polish is considered a plus
  • Previous experience in a similar role is required
  • strong organizational skills, accuracy, autonomy, and a proactive mindset
