Overview

TRAVEL DESIGN & BOOKINGS ASSISTANT

APPRENDISTATO CONTRACT

Our ideal candidate is a person who has completed a Travel Design & Bookings & Operations course or has already had a similar experience working with a tour operator / travel agency or DMC. You will primarily be working on Italy-based customised itineraries for private clients; you will also be working on the UK & Ireland, Spain & Portugal, France & Greece at various stages.

This position is fully remote and you will be working from home.

Job description

This role will see you work in Travel Design and Bookings & Operations. Note: you will not do these roles concurrently, rather you will do one or the other for a period of time according to seasonality and business needs.

Responsibilities

  • Travel Designer – responsible for the creation of accurate, thoughtful itineraries, cultivating client relationships and achieving sales targets. Involves communicating with clients via email and telephone; you will have a sales budget to achieve.
  • Bookings & Operations Assistant – responsible for all aspects of bookings and maintaining the client relationship from confirmation through departure; manage supplier relationships.
  • Key tasks include:
    • Dealing with emergencies
    • Checking that clients have everything before arrival
    • Communicating with clients during tours to provide reconfirmation and last information
    • Booking services (transfers, tickets, hotels, activities, guides, etc.) and reconfirming with suppliers and hotels prior to tour commencement
    • Following up supplier invoices & liaising with the accounts department
    • Itinerary checks: timings, meeting points, contact details for services in the itinerary system; ensure clients are informed and double-checked with suppliers

Who you are

  • Excellent attention to detail and ability to work in a fast-paced, deadline-driven environment
  • Comfortable contacting clients & suppliers by phone
  • Passion for sales, understanding client needs and closing business
  • Proficiency in English (C1 level, written & spoken)
  • Proficiency in Italian (C1/2 level, written & spoken)
  • Team player who can also work independently and solve problems quickly
  • Ability to work under pressure, multitask and prioritise effectively
  • Willing to ask questions, propose new ideas, and take initiative
  • Comfortable with remote, work-from-home environment
  • Positive, proactive attitude with a curiosity about work and life
  • Rapid learner of new technologies and systems (Google Workspace, Google Sheets, Trello, itinerary software)
  • Committed to a career in tourism
