Job summary

Confidential Company is seeking an experienced Sales Co-ordinator to support the HVAC sales team in Qatar. The role involves preparing quotations, techno‑commercial submittals and documentation, and ensuring orders progress from order receipt to delivery with close collaboration with production and finance teams.

The ideal candidate holds a BE/Diploma in Mechanical engineering, with 3 years in sales coordination and 2 years in HVAC products, including proficiency in AutoCAD 2D and 3D.

Qualifications

• Bachelor’s degree (preferred BE/Diploma – Mechanical).
• 3 years’ experience in sales coordination (preferred).
• 2 years’ experience with HVAC products (preferred).
• Proficiency in AutoCAD 2D and 3D.

Responsibilities

• Coordinate, monitor and supervise internal day‑to‑day sales activities.
• Assist the sales team in preparing quotations, technical submittals and related documentation.
• Assess purchase orders against offered terms, commercial and contractual obligations before order acknowledgement.
• Assist the sales team in preparing techno‑commercial documentation and tender submittals for large projects.
• Process sales orders and monitor production and delivery progress for each order.
• Collaborate closely with the production team to prioritize deliveries based on sales inputs.
• Monitor and maintain progress of all enquiries, quote logs for ductwork, dampers, louvers, ESPs, VAVs, fans and acoustic products.
• Conduct daily sales progress and forecast updates with production and sales teams.
• Use Ventures and BNC to gather project intelligence and upcoming project details.
• Track ongoing production jobs and update the sales team on any deviations from the original delivery schedule.
• Coordinate with the sales team to update periodic sales reports and resolve customer queries and complaints.
• Exercise due diligence regarding payment and credit issues, handling such cases in coordination with the sales and finance teams.
• Conduct periodic email campaigns and cold calls to clientele to promote new products and generate new leads as directed by the Sales Head.
• Handle technical compliance and estimation of the products.
