Job summary

Maersk in Warsaw is seeking an LCL Operations Associate to coordinate end-to-end shipment processes for imports and exports, manage daily orders, and ensure timely communication with customers.

You will work with the LCL & FCL teams to optimize transport plans, monitor order flow, and contribute to continuous improvements in a fast-paced global logistics environment.

Qualifications

• Experience in a service company (B2B or B2C) and order management.
• Educational background supporting maritime/logistics or supply chain operations.
• Experience with order management systems (e.g., CargoWise) is a bonus.
• Strong communication and customer-focused mindset.
• Ability to prioritize and structure work with multi-day/weeks timelines.

Responsibilities

• Proactively communicate with customers to ensure end-to-end connectivity and transparency.
• Ensure smooth end-to-end shipment processes for import and export shipments.
• Manage and execute orders daily.
• Own the order scope as delegated by the LCL & FCL Team Lead.
• Monitor new orders and plan transport arrangements with the Operations team.
• Update revenue at booking and manage accessorial costs with customer approval.
• Accrue costs and work with Finance to review invoices and contractual variances.
• Close system files after reviewing revenue and cost accruals.
• Coordinate with Operations to share transport plans and changes.
• Apply process improvements to increase daily efficiency.

Key responsibilities

• Within shipping and logistics pro-active communication and information flow towards our customers is the key in ensuring end-to-end connectivity and transparency.
• As our LCL Operations Associate, you will be responsible for ensuring a smooth end-to-end shipment process for both import and export shipments.
• Manage and execute orders on a daily basis.
• Own the order scope as delegated by the LCL & FCL Team Lead.
• Monitor new order inflow and the assignment of transport plans by the Operations team.
• Update revenue for ordered services at the time of booking and manage any accessorial costs - with customer approval (subject to the agreed SOP) - prior to billing, in accordance with the terms of the order.
• Accrue costs for services delivered overseas within the Maersk network and ensure that ICB billing is closed and cleared in a timely manner.
• Accrue vendor costs and work closely with our Finance teams to review incoming vendor invoices and dispute charges that are not in accordance with agreed contracts, as well as costs resulting from errors or handling deviations not caused by Maersk or the customer.
• Close system files on time after carefully reviewing estimated and billed revenue and ensuring the proper accrual of costs.
• Work closely with the Operations team to ensure clear communication and visibility of transport plans, including any changes resulting from cargo readiness or adjustments to the transport plan.
• Apply process improvements and continuous learning to increase efficiency and effectiveness in daily work.

Your profile

• Previous experience working in a service company (B2B or B2C), preferably involving order management and/or order execution.
• Relevant educational background supporting a career in the maritime industry, logistics and/or supply chain operations.
• Experience in LCL and FCL operations would be an advantage but is not a requirement.
• Experience working with order management systems, preferably within transportation services ( e.g. CargoWise ).
• Strong communication skills and experience interacting directly with customers and third-party vendors, combined with a customer-focused mindset.
• Ability to prioritize and structure work effectively when managing orders with timelines spanning several days or weeks.
• Familiarity with shipment billing, cost accruals and related financial processes would be an advantage.
• Full-time availability.
• Ability to work both independently and as part of a team.
