GlobalLogic Kraków is seeking a Junior Office & Guest Experience Specialist to join the Employee Services team. You will support guest visits, manage meeting room setup, and assist with office operations in a fast-paced, multinational environment.

Reporting to the Head of Business Visits & Events, you will coordinate logistics, maintain office standards, and collaborate with global teams. The role offers growth within a diverse, global company and exposure to wide-ranging projects.

Qualifications

  • At least 1 year in admin, customer service, or hospitality.
  • Bachelor’s degree or background in related fields such as Business Administration, Hospitality, Sociology, Event Management.
  • Intermediate English (B2) in writing, reading, and speaking for international guests and teams.
  • Proficient in Google Workspace (Docs, Sheets, Gmail/Calendar).
  • Experience setting up meeting rooms and maintaining office order.

Responsibilities

  • Serve as the front face of the office, welcoming guests and candidates with a professional attitude.
  • Coordinate schedules and logistics for internal/external visitors, meeting rooms, catering, transport, and on-site hospitality.
  • Maintain office documents, spreadsheets, and task plans using productivity tools.
  • Ensure community areas and kitchens are stocked and organized; manage mail and couriers.
  • Collaborate with internal stakeholders on internal initiatives and events.

Junior Office & Guest Experience Specialist IRC297558

This is a newly established role within the Employee Services (ES) Department, with direct reporting to the Head of Business Visits & Events, EMEA Region in fulfilling global projects and that will support activities that are organized for employees of Globallogic Poland.
A hired person will have a crucial role when it comes to supporting guest visits – internal and external ones – to improve the quality of the service.
The position may require cooperation with other global teams in exchanging knowledge and provide occasional support.
Employee Services is one of the internal departments that deal with all general administration and facility topics. The Team is spread between a few offices which are located in Szczecin, Koszalin, Gdansk, Bydgoszcz, Lodz, Zielona Gora, Katowice, Krakow and office in Wroclaw – where most of support departments are based. The team is often involved in many local and global topics and projects. The person joining will have a great possibility to be part of a diverse global team and gain knowledge about work of our department in other Globallogic locations.

Requirements
  • At least 1 years of professional work experience, preferably in a similar junior administration, customer service, or hospitality role.
  • Bachelor’s degree or educational background in related fields such as Business Administration, Hospitality, Sociology, Event Management, or similar.
  • At least Intermediate English level (B2) in writing, reading, and speaking, enabling smooth communication with international guests and team members.
  • Good command of Google Workspace (Docs, Sheets, Gmail/Calendar) sufficient to efficiently process documents, manage tables, and plan daily tasks.
  • Experience in setting up meeting rooms and proactively maintaining overall office order, neatness, and visual standards.
  • The ability to cooperate effectively with diverse employees and internal departments.
  • A proactive approach to daily challenges, with the flexibility to adapt to changing task priorities and react fast to unexpected shifts.
  • Occasionally travel to locations and take part in events organized by the company.
  • Support other Employee Services Teams when it is necessary – day to day activities.
Job responsibilities

As a Junior Office & Guest Experience Specialist, you will be the heart and front face of our office, which serves as a strategic, flagship hub and a key location within the European region. This role combines daily administrative support with a strong focus on creating an exceptional, high-energy, and welcoming experience for our guests, clients, and team members. You will work closely with the Visit Coordinators Team to ensure smooth day-to-day office operations while developing your skills in corporate hospitality and office management.

  • Guest Experience Specialist:
  • Serving as the professional front face of the company; welcoming guests, clients, and candidates with high emotional intelligence and a warm, supportive attitude.
  • Coordinating schedules and logistics for internal/ external visitors, including meeting room setups, catering arrangements, transport/parking reservations, and on-site hospitality.
  • Working closely with various internal departments and employees to ensure that guest relations align with company standards and team needs.
  • Office Administration:
  • Creating, updating, and managing office documents, spreadsheets, and task plans using office productivity tools (MS Office / Google Workspace).
  • Ensuring that all community areas, meeting rooms, and kitchen spaces are fully stocked, organized, and ready for daily operations.
    Managing incoming and outgoing couriers, distributing mail, and overseeing regular office and kitchen supply orders.
  • Cooperating with internal stakeholders to help organize internal initiatives, company events, and team-building activities.
  • Demonstrating agility, a proactive approach, and high energy by quickly adapting to changing priorities and fast-paced office situations.
