Job summary

Jacobs in Kraków is seeking an HR Services Specialist to provide first‑level HR, Benefits and Payroll support for US/Canada, handling inquiries and case management with confidentiality.

The role requires 1 year in HR or payroll or customer service, strong English and Polish, and a Bachelor’s degree or equivalent, with a willingness to work rotating shifts. A fixed‑term 18‑month contract and hybrid work options are offered along with a comprehensive benefits package.

Qualifications

• Proficiency with Microsoft applications
• Excellent spoken and written English
• Communicative level of Polish language
• Bachelor’s Degree or equivalent experience
• Numerical attitude/analytical skills
• Knowledge of HR or Payroll policies and processes
• Ability to handle confidential issues with discretion
• Willingness to work in shifts (two weeks 8:00–16:00, two weeks 10:00–18:00)

Responsibilities

• Respond to requests from HR staff, managers, and employees on HR or Payroll policies, procedures, and tools
• Navigate company systems and tools and explain their functionality
• Process information, data, transactions, and letters related to HR or Payroll data
• Track customer contacts and inquiries in the case management system
• Monitor case management system and reassign tasks to appropriate teams
• Escalate matters to policy owners for resolution
• Maintain professional, confidential and helpful approach with stakeholders
• Build productive relationships at all levels of the enterprise

HR Services Specialist is first-level support to employees, former employees, managers, Human Resource Partners, and external customers in specific geographies (US/CAN) by assisting in inquiry resolution and employee transactional support associated with Human Resources, Benefits and Payroll procedures, programs and tools.

Key Responsibilities

• Utilizes our knowledge management system to respond to requests from HR staff, managers and employees on HR or Payroll policies, procedures, and tools
• Navigates on company’s systems and tools and explains their functionality
• Processes information, data, transactions, and letter related to HR or Payroll data
• Tracks customer contacts and inquiries in case management system
• Monitors case management system and reassigns tasks to appropriate teams
• Escalates necessary matters to policy owners for resolution
• Possesses strong interpersonal skills to successfully build productive relationships at all levels of the enterprise
• Conveys a professional, knowledgeable, helpful and confidential approach

Here’s what you’ll need

• 1 year in HR or Payroll, or in a customer service/call center environment
• Proficiency with Microsoft applications
• Excellent spoken and written English
• Communicative level of Polish language
• Bachelor’s Degree or equivalent experience
• Numerical attitude/analytical skills
• Knowledge of HR or Payroll policies and processes
• Ability to handle confidential issues with discretion
• Willingness to work in shifts two weeks/month between 800-1600 and two following weeks between 1000-1800
