We are seeking an organised and detail-oriented Estates Data & Programme Coordinator to support the effective management and reporting of our global property portfolio. This is an exciting opportunity for someone who enjoys working with data, driving process improvement, and contributing to the delivery of estate and facilities management programmes on an international scale.
In this role, you will coordinate the annual global estates data collection process across all properties, ensuring that standardised facilities management tools and methodologies are implemented consistently. You will provide training and guidance to local teams, work closely with regional facilities management mentors, and monitor completion to ensure accurate, timely, and high-quality data submissions.
You will be responsible for validating, consolidating, and analysing estates data, collaborating with specialist teams to develop reporting solutions and Power BI dashboards that provide meaningful insights into asset condition, compliance risks, and operational performance across the portfolio.
A key aspect of the role will involve translating data-driven insights into actionable programmes, particularly supporting the development and delivery of the Minor Capital Investment Fund (Minor Works). You will help identify and prioritise low-complexity projects based on asset condition and compliance requirements, while maintaining oversight of programme progress, financial performance, and reporting.
Working closely with finance and programme stakeholders, you will support robust financial governance processes, ensuring alignment between SAP actuals, commitments, and programme tracking tools. You will coordinate portfolio-level reporting and produce regular performance updates, providing clear visibility of programme costs, risks, and delivery status.
The successful candidate will also coordinate enhanced compliance assessment programmes across targeted locations, liaising with specialist third-party providers and internal stakeholders to ensure effective planning, delivery, and future capital investment forecasting.
The ideal candidate will have experience in programme or project coordination, estates, facilities management, asset management, or a related environment. You will possess strong analytical and data management skills, be comfortable working with reporting tools such as Power BI and financial systems such as SAP, and have the ability to coordinate multiple stakeholders across a global organisation. Excellent communication, organisational, and problem-solving skills are essential, along with a proactive approach to managing information and driving continuous improvement.
This role offers the opportunity to make a tangible impact on the management and development of a global estate portfolio, helping to ensure that investment decisions are informed, priorities are clearly understood, and programmes are delivered effectively.
The role sits within Global Estates Department as a central coordination and delivery position, responsible for supporting the consistent execution, governance, and reporting of a portfolio of multi-region programmes. It acts as a key link between local, regional FM teams, central functions, and specialised partners, ensuring alignment of delivery practices, financial governance, and reporting standards across the global estate.
The role reports to the Global Facilities Manager role and has no direct reports.
