Job summary

FedEx Group in Kraków is seeking an experienced Executive Assistant to provide high-level administrative and operational support to the Managing Directors across Government Affairs Europe and Legal France & South East Europe. You will manage calendars, travel, and communications for senior leaders, while coordinating with internal and external stakeholders across multiple countries.

The role requires discretion, professional judgment and the ability to handle confidential information.

Qualifications

  • Experience providing advanced executive, secretarial and administrative support to senior leaders in an international and dynamic environment.
  • Ability to work independently with a high degree of autonomy, exercising sound judgement, initiative, integrity and discretion when handling sensitive and confidential information.
  • Excellent planning, organizational and communication skills, with the ability to manage multiple priorities, anticipate needs and coordinate effectively with teams, stakeholders and executives across different countries and time zones.
  • Experience supporting administrative and financial processes, including expense management, invoice processing and coordination with internal and external stakeholders.
  • Quality-focused and detail-oriented, with strong problem‑solving skills, excellent Microsoft 365 proficiency, fluency in English, knowledge in French is a plus and experience working in a multinational and matrixed organization.

Responsibilities

  • Provide proactive executive and administrative support to the Managing Director Government Affairs Europe and the Managing Director Legal France & South East Europe, ensuring effective management of priorities, calendars, meetings and travel arrangements.
  • Act as a key liaison for internal and external stakeholders, coordinating communications, meetings, events and engagements across local, regional and global teams.
  • Support Government Affairs and Legal activities through the coordination of meetings, site visits and events involving public authorities, policymakers, industry associations, external counsel and other strategic stakeholders.
  • Manage administrative and financial processes, including expense management, invoice processing, vendor and law firm coordination, payment tracking, and liaison with Finance to ensure timely and accurate processing.
  • Coordinate operational activities, including onboarding, procurement, team events, HR-related administration, workplace services, technology requests and support on internal systems and processes.
  • Monitor action items, maintain accurate records and confidential documents, and support special projects and cross-functional initiatives to ensure timely execution and compliance with company policies.

Position Summary

Reporting to the Managing Director Government Affairs Europe and the Managing Director Legal France & South East Europe, the Executive Assistant provides comprehensive executive, administrative and operational support to ensure the efficient management of day-to-day business activities across both functions.

The role requires a high degree of professionalism, discretion and sound judgment in handling confidential and sensitive information. The successful candidate will serve as a trusted partner to both Managing Directors, supporting executive priorities, stakeholder engagement activities, financial administration, and the effective operation of Legal and Government Affairs teams across multiple European countries.
