Job summary

CIC Warsaw is seeking an organized Event Specialist to plan, coordinate, and execute events from concept to completion, ensuring a high-quality experience for guests and partners. You will collaborate with multiple teams to manage budgets, venues, suppliers, and logistics, delivering memorable events in a fast-paced environment.

The role is a full-time replacement to cover maternity leave, with strong emphasis on ownership, proactive problem-solving, and client-focused delivery.

Qualifications

  • Experience in event management, event coordination, marketing, hospitality, or a similar role.
  • Excellent organizational and project management skills with the ability to manage multiple projects and priorities.
  • Strong communication and interpersonal skills.
  • A proactive, solution-oriented, and hands-on approach.
  • Strong attention to detail.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Fluent Polish and good command of English.
  • Flexibility to work after hours and on weekends when required.
  • Willingness to travel when required.
  • A genuine passion for creating memorable experiences.

Responsibilities

  • Planning and coordinating events, conferences, meetings, and corporate activations.
  • Managing the full event lifecycle, from initial concept and budgeting to execution and post-event evaluation.
  • Coordinating external suppliers, venues, agencies, and other partners.
  • Managing event logistics, schedules, guest lists, and on-site operations.
  • Supporting event communication and promotional activities.
  • Monitoring budgets, timelines, and project deliverables.
  • Ensuring events run smoothly and addressing any issues that may arise.
  • Building and maintaining strong relationships with clients, partners, and suppliers.
  • Preparing post-event reports and analyzing feedback to continuously improve future events.

You are an organized, proactive, and people-oriented professional who enjoys turning ideas into well-executed events. You have a hands-on approach, strong attention to detail, and the ability to stay calm and solution-focused in a fast-paced environment.

You are confident in communicating with different stakeholders, comfortable managing multiple priorities, and not afraid to take ownership and make things happen. You combine creativity with strong organizational skills and enjoy working both independently and as part of a team.

Key Responsibilities
