Job summary

Amex GBT is seeking a Data Admin & Reconciliation Specialist to support Meeting Planners with data administration tasks across internal and customer applications. This is a fully remote role based in Poland or Spain.

You will collect, validate, and update data, complete event budgets, and ensure data integrity, aging, and SLA compliance while collaborating with cross-functional teams.

Qualifications

  • 3–5 years of experience in data entry, financial reconciliations, or related areas.
  • Excellent English and Swedish communication to support global teams.
  • Customer service excellence.
  • Proficient in MS Office, especially Excel.
  • Experience in the Event Management industry is a plus.

Responsibilities

  • Receive, review, and analyze event budgets via internal tools.
  • Clarify requests with relevant departments and gather supporting docs.
  • Complete event close out ensuring data integrity and SLA compliance.
  • Enter and reconcile data between sources, manually or via macros.
  • Reconcile all meeting and event spend and track budget items.
  • Identify errors, follow up with suppliers, and ensure timely closures.
  • Collaborate with Meeting planners to align with policies and turnaround times.
  • Resolve reconciliation issues to ensure timely event closures.

Data Admin & Reconciliation Specialist will support the Meeting Planners with data administration tasks in internal and customer applications. Key responsibilities include collecting, validating, updating data across applications, and delivering the end-to-end process. This is a fully remote role based in Poland or Spain.

What you will be doing:
  • Receive, review, cross check and analyze the event budgets assigned via Meetings & Events’ internal Project Management tool (Meeting Central).
  • Communicate with appropriate departments to clarify request and obtain appropriate supporting documentation as per the laid down checklist within the process.
  • Review and complete event close out process in accordance with policy guidelines to include data integrity, aging and SLA compliance.
  • Assess, analyze, and intelligently enter data taken from one data source to another, either via manual duplication or by means of a macro.
  • Reconciliation of all meeting and event spend.
  • Track budget items, catch errors and missing invoices for follow up with Suppliers / Vendors.
  • Supports continuous alignment with M&E policies and turnaround time and works closely with the Meeting planners.
  • Supports resolution on issues and reconciliation errors to ensure Event closures on time.
What we’re looking for:
  • Minimum 3-5 years of work experience in data entry, financial reconciliations, P2P operations, or Account Receivables Management are preferred.
  • Excellent communication skills in English and Swedish to support global teams, clients and suppliers.
  • Customer service excellence.
  • Reasonable proficiency in MS Office productivity tools such as Excel.
  • Experience working in the Event Management industry a plus.
