Job summary

KALE Recruitment seeks a Contract Manager for our client, an international IPP with wind, solar and BESS projects. The role is based in Warsaw with two days of home office and requires fluency in Polish and English.

Key duties include administering EPC/Contractor communications, managing variations and claims, and supporting finance and governance processes. A law or engineering background with FIDIC experience is essential.

Qualifications

  • Near-native written English is essential and the role requires precise, legally effective drafting.
  • Demonstrable FIDIC experience with EPC or turnkey contracts, including Clause 20, Clause 13, Clause 8.
  • 5–10 years in contract management, contract administration or project legal work on large construction/energy projects.
  • Degree in law, engineering, quantity surveying or construction management; Polish qualification is a plus.

Responsibilities

  • Draft, issue and control all formal correspondence and documentation to EPC Contractors within contractual response periods.
  • Maintain and log the obligations and deliverables register across all packages.
  • Act as the single point of contact for contract interpretation for the project team.
  • Check submittals, design deliverables and progress claims against the contract and technical specs.
  • Assess variations, change orders and claims for entitlement and notice compliance.
  • Administer securities and insurances, including performance securities and retention.
  • Support milestone and payment certification and set-off processes.
  • Follow up contract administration of the Contract Engineer engagement and track reporting obligations.
  • Own the issue log, claims register and risk register; escalate with options.

Job description

Our client is an international IPP with a large portfolio of wind, solar and BESS projects in Poland and other parts of the world. Currently, to support the legal department of the company, we are looking for a contract manager responsible for the negotiation and implementation of the contracts. The role is based in Warsaw, with two days of home office.

Knowledge of both POLISH and ENGLISH is a must for the role.

PURPOSE OF THE ROLE:

To administer and follow up day to day the contractual relationship with the EPC Contractors, and ancillary contracts such as the Contract Engineer and to make sure every obligation, notice and deadline is captured, answered on time and put on the record in a form that will hold up later. This is a hands‑on role, embedded in the project teams.

KEY RESPONSIBILITIES
Contractual communication — the bulk of the role
  • Draft, issue and control all formal correspondence and documentation (MoM’s etc.) to and from the EPC Contractors - notices, instructions, responses, determinations - under the correct sub‑clause and within the contractual response periods.
  • Run the correspondence and notices register: log, route, assess and close out every incoming item, so no Employer deadline is missed or unintended steps are taken in project critical processes such as BoM, FAT, MAF, Supply Chain and ESG controls, or project completion.
  • Act as the single point of contact for contract interpretation and communication for the project team.
Contract and specification checking
  • Check Contractor submittals, design deliverables, method statements and progress claims against the Contract, the Employer’s Requirements and the technical specifications; pursue deviations in accordance with the project governance and processes.
  • Maintain the obligations and deliverables register across all packages, including the company's own obligations and the lender requirements flowing into the EPC contract.
  • Assess variations, change orders and claims (extension of time, cost) for entitlement, notice compliance and impact; prepare Employer/Investor’s position and supporting records.
  • Administer securities and insurances - advance payment guarantee, performance security, retention and warranty bonds, parent company guarantees - including wording and diarised expiry.
  • Support milestone and payment certification, delay-damages accrual and set‑off, taking‑over, the defects notification period and close‑out.
Contract administration of the Contract Engineer engagement
  • Follow up the contract administration of the organization’s agreement with the Contract Engineer: deliverables, team mobilisation and workload against the agreed BoQ, invoicing, additional‑services requests, variations and close‑out.
  • Track the Contract Engineer’s reporting and record‑keeping obligations and flag deviations early. The relationship with the Contract Engineer is owned by the Project Director and the Business CEO; you provide them the contractual facts.
  • Work daily with the Contract Engineer’s project managers, site engineers and inspectors; translate site findings (NCRs, punch lists, delays, test results) into contractual action and back. Attend the weekly technical and progress meetings.
Issue tracking and reporting to leadership
  • Own the issue log, the claims and variations register and the contractual risk register, and drive open items to closure.
  • Report weekly and monthly into the project line, and into the legal line on matters with precedent or business‑wide effect; provide the contractual input to shareholder, lender and LTA reporting, conditions‑precedent evidence and draw‑down packs.
  • Escalate early - decision‑ready summaries of exposure, options and recommended action, not raw correspondence.
Beyond SKD
  • Build the company's knowledge base: contract management toolkit - templates, registers, notice playbooks, lessons learned - so the next project starts from a working system, not from scratch.
  • Grow your role of contract management to be impactful across projects for further company projects as the portfolio grows, and support the Legal Lead and business development on wider business matters: contract review, supplier and counterparty agreements, compliance.
REQUIREMENTS
  • Near‑native written English is essential. The majority of this role is drafting precise, unemotive, legally effective correspondence that must withstand later scrutiny in disputes up to supporting arbitration. Candidates will expect to complete a short drafting exercise.
  • Demonstrable FIDIC experience. Hands‑on administration of a FIDIC‑based EPC or turnkey contract - Silver Book (1999 or 2017) or an equivalent bespoke form of comparable complexity - including notice and claim discipline under Clause 20, variations under Clause 13, and extension of time and delay damages under Clause 8. Experience of FIDIC as amended by extensive Particular Conditions is essential; FIDIC (FCL) certification an advantage.
  • 5-10 years in contract management, contract administration or project legal work on large construction, energy or infrastructure projects. A combination of Employer / owner‑side experience with Contractor experience strongly preferred.
  • Degree in law, engineering, quantity surveying or construction management. A Polish legal qualification (radca prawny / adwokat) is an advantage but not required.
  • Able to interrogate a Primavera P6 or MS Project type programme - critical path, float, as‑built against as‑planned - well enough to test a Contractor’s extension of time submission.
  • Exceptional organisation and attention to detail; comfortable in a dual reporting structure; robust under pressure from the Contractor and from our own team.
  • Fluent Polish is a strong plus (authorities, DSO/PSE, subcontractors). Utility‑scale renewables, HV grid connection and project‑finance exposure are advantages.
