Job summary

Bechtel is seeking an Administrative Reporting Assistant in Poland to support the AP1000 Supply Chain team. You will maintain project records, prepare routine reports, and assist with data accuracy across project systems, enabling effective project execution.

You will collaborate with Supply Chain, Project Controls, Engineering, and Construction teams to ensure timely reporting and robust document management, contributing to project success.

Qualifications

  • Bachelor's degree (or international equivalent) required.
  • 2-5 years of administrative support, reporting, data management, or project coordination preferred.
  • Experience with Microsoft Office and reporting tools strongly preferred.

Project Overview

Bechtel and Westinghouse Electric Company have partnered to deliver the first AP1000 nuclear power reactors in Poland for our customer, the "Polish Entity Polskie Elektrownie Jadrowe (PEJ)". Bechtel will be the Engineering, Procurement, and Construction (EPC) contractor for the project. As the EPC, our responsibilities will include providing the design for the Turbine Island and Balance of Plant as well as the construction of the entire facility. This is a one-of-a-kind opportunity, and we are looking for the talent that will help expand Poland’s nuclear base and build a strong and long-lasting energy future for generations to come. This position is subject to U.S. Department of Energy (DOE) regulations at 10 CFR Part 810 (Part 810), which govern the transfer of hardware, materials, and technology to support the construction and operation of commercial nuclear power plants overseas.

Job Summary

The Administrative Reporting Assistant provides administrative, reporting, and data management support to the Poland AP1000 Supply Chain team. The role is responsible for maintaining project records, preparing routine reports and presentations, supporting data accuracy within project systems, and coordinating administrative activities to support effective project execution.

Working with Supply Chain, Project Controls, Engineering, Construction, and other project stakeholders, the Administrative Reporting Assistant supports reporting requirements, document management, meeting coordination, and data tracking activities. The role contributes to project objectives through accurate record keeping, timely reporting, and effective administrative support.

Major Responsibilities
  • Maintains project records, databases, reports, and trackers to support Supply Chain and project execution activities.
  • Prepares routine reports, presentations, dashboards, and status updates using project data and information provided by stakeholders.
  • Supports data entry, validation, and maintenance of information within project systems and reporting tools.
  • Assists with the preparation and distribution of meeting agendas, minutes, action logs, and project communications.
  • Tracks project actions, commitments, and reporting requirements, following up with stakeholders as necessary.
  • Supports document control activities, including filing, archiving, version control, and records management.
  • Assists with the collection, compilation, and formatting of data for management reporting and project reviews.
  • Coordinates administrative activities, including meeting logistics, training records, and reporting schedules.
  • Identifies data discrepancies and escalates issues impacting report accuracy or data quality.
  • Supports audits, reviews, lessons learned activities, and other project reporting requirements.
Education And Experience Requirements
  • Bachelor's degree (or international equivalent) and 2-5 years of relevant experience or 6-9 years of relevant work experience in administrative support, reporting, data management, project coordination, or a related field.
  • Experience using Microsoft Office applications, reporting tools, and project information systems preferred.
  • Experience supporting project teams in engineering, construction, infrastructure, energy, or industrial environments is desirable.
