The Project Manager is responsible for leading the planning, execution, and successful delivery of projects within defined timelines, scope, and quality standards. This role owns end-to-end requirement gathering and documentation, ensures effective coordination among cross-functional teams, maintains clear communication with clients and stakeholders, and drives continuous improvement in project execution, including the adoption of AI tools to streamline workflows and boost delivery efficiency.
Key Responsibilities
Project Planning & Execution
- Define project scope, objectives, deliverables, and success metrics in collaboration with clients and internal teams.
- Develop detailed project plans, resource allocation strategies, and timelines, leveraging AI-powered tools (e.g., for estimation, scheduling, or scenario planning) where they improve accuracy and speed.
- Ensure project milestones are met within budget and quality standards.
- Identify potential risks and implement mitigation strategies proactively, using AI-assisted analysis to flag risks earlier where possible.
- Conduct regular project tracking, reporting, and documentation using AI tools to automate status updates, summaries, and reporting where applicable.
Requirement Gathering & Business Analysis
- Lead requirement-gathering sessions with clients and translate business needs into clear, structured documentation (BRDs, user stories, process flows) for the delivery team.
- Own requirement sign-off with clients before development begins, minimizing scope creep and rework.
- Analyze and document change requests, assessing impact on scope, timeline, and budget before implementation.
- Maintain a single source of truth for requirements throughout the project lifecycle, updating documentation as scope evolves.
Team & Stakeholder Management
- Lead cross-functional teams (design, development, QA, marketing, etc.) to ensure smooth coordination and collaboration.
- Assign tasks, monitor progress, and maintain accountability within the team.
- Conduct daily standups, sprint reviews, and retrospective meetings to drive Agile practices.
- Facilitate effective communication between internal teams, management, and clients.
- Resolve conflicts, remove roadblocks, and maintain team motivation and performance.
Client & Communication Management
- Act as the main point of contact for clients throughout the project lifecycle.
- Gather and clarify requirements, set expectations, and ensure alignment with client goals.
- Provide timely updates, reports, and feedback to clients and senior management.
- Manage change requests and ensure smooth implementation without disrupting project flow.
Quality & Delivery Assurance
- Ensure all deliverables meet company and client standards for quality and performance.
- Oversee project testing, review processes, and final handovers.
- Drive process improvements and implement best practices for project execution.
Process & Performance Improvement
- Continuously evaluate project workflows and identify opportunities to apply AI and automation to reduce manual effort and improve turnaround time.
- Analyze completed projects to identify success factors and lessons learned.
- Support management in developing project management frameworks, documentation templates, and AI-enabled process improvements.
- Stay current on emerging AI tools relevant to project management and business analysis, and champion their adoption across the team.
- 3–5 years of experience managing projects, ideally in a fast-paced or cross-functional environment.
- Experience with business analysis activities like requirement elicitation, documentation (BRD/FRD/user stories), and process mapping.
- Ability to translate ambiguous client requests into clear, actionable requirements for design and development teams.
- Strong understanding of Agile/Scrum and Waterfall methodologies.
- Experience using project management tools (e.g., JIRA, ClickUp, Asana, Trello).
- Working knowledge of AI tools (e.g., ChatGPT, Claude, Copilot, or similar) to improve reporting, documentation, planning, or communication workflows.
