Tuitional Education is a virtual learning platform delivering premium online education to students across the GCC and beyond. We teach O/A Level, IGCSE Cambridge, GCSE, Pearson Edexcel, and Grade 1–8 primary and secondary curricula through a vetted network of Tuitional Certified Tutors.
The Product & Counseling department sits at the centre of the student journey. Every enquiry that becomes a paying student passes through this team: we translate what a parent needs into an academic plan, match that plan to the right tutor, run the trial, and hand over a student who is set up to succeed.
The Product Associate owns the allocation pipeline — the path from a qualified enquiry to a confirmed, activated student.
You will take structured intake briefs, evaluate ranked tutor shortlists, make the final matching decision, coordinate the trial, and carry the student through to LMS activation. Much of the upstream work is assisted by internal AI agents; your job is to exercise the human judgement those agents cannot: catching a mismatched curriculum code, reading what a parent actually means, and knowing when a technically valid match is the wrong one.
This is a decision-making role, not a data-entry role. You will be measured on match quality and trial-to-conversion, not on volume of tickets closed.
One thing to be clear about before you apply: Tuitional is an AI-native company. The tools, agents, and workflows you are trained on in your first month will not be the ones you are using six months later. Processes are rebuilt when a better one becomes possible, and that happens often. We are looking for someone who treats that as the interesting part of the job rather than the frustrating part — who picks up a new system quickly, contributes to shaping it, and keeps delivering while it changes underneath them. If you need a fixed, settled process to do your best work, this role will not suit you.
1. Intake & Academic Briefing
Review structured intake briefs generated from enquiry forms, calls, and WhatsApp/email threads; correct, complete, or reject them before they move downstream.
Identify the real academic gap behind a parent's request — subject, level, exam board, target grade, exam technique needs, and timeline.
Conduct counselling calls with parents and students where the brief is ambiguous, high-value, or non-standard.
Flag incomplete or unworkable enquiries back to the Admissions Specialist with specific, actionable notes.
2. Tutor Allocation & Matching
Evaluate ranked tutor shortlists against the brief across curriculum code, level, availability, capacity, past performance, and rate.
Make and document the final tutor selection; override the ranking where your judgement warrants it, and record why.
Escalate no-match situations to the Head of Product & Counseling immediately rather than forcing a weak allocation.
Maintain accurate tutor profile data — subjects, boards, levels, availability windows, and current load.
3. Trial & Conversion
Coordinate trial scheduling across tutor, student/parent, and the admissions team; confirm bookings and send reminders.
Review post-trial demo analyses, verify the assessment against the session record, and approve, edit, or send back for redo.
Follow up on trials that do not convert, diagnose the reason, and feed the pattern back to Admissions and Excellence.
Ensure every converted student is correctly activated in the LMS with the right class, tutor, schedule, and package.
Monitor early-stage student satisfaction and raise re-allocation requests before a relationship deteriorates.
Own the re-matching process when a student needs a tutor change — with minimal disruption to the schedule.
Log recurring quality issues (tutor punctuality, teaching gaps, parent communication) and elevate to the relevant department.
5. Cross-Department Coordination
Act as the working link between Admissions, Tech, HR, and Excellence on anything student- or tutor-related.
Participate in second-round interviews for tutor candidates sourced by HR, assessing subject depth and teaching fit.
Surface product and platform friction to Tech with clear reproduction detail rather than general complaints.
6. Reporting & Process Improvement
Maintain complete, accurate records in the CRM and LMS — no untracked allocations, no undocumented overrides.
Report weekly on allocation volume, match acceptance rate, time-to-allocation, trial-to-conversion, and open escalations.
Identify repeated manual steps in the pipeline and propose automations or template fixes to the Head of Department.
Adopt new internal tools, AI agents, and revised workflows as they are rolled out — test them in live use, report where they break, and help write the process that replaces the old one.
First 30 days Understand the full student journey end to end. Shadow live allocations, learn the curriculum map across Cambridge and Pearson Edexcel, and know the active tutor pool by subject and level. Begin handling straightforward allocations under supervision.
First 60 days Own the allocation pipeline for your assigned enquiry stream independently. Consistently produce defensible matches, run trial coordination without prompting, and clear the demo review queue within agreed turnaround times.
First 90 days Hold a measurable, improving trial-to-conversion rate. Have identified at least two concrete process or data gaps and driven a fix for one. Have absorbed at least one significant workflow or tooling change without a dip in your numbers. Be the person Admissions goes to first when an enquiry is complex.
Bachelor's degree in Education, Business, Psychology, Sciences, or a related field.
1–3 years of experience in education operations, academic counselling, customer success, account coordination, or a comparable client-facing role.
Excellent spoken and written English — you will speak with parents across the GCC daily.
Strong judgement under incomplete information, and the confidence to push back on a weak brief or a bad match.
Comfort working in CRMs, spreadsheets, and web-based operational tools; able to learn new internal systems with minimal hand-holding.
Genuine agility — a track record of absorbing new tools, new responsibilities, and changed processes without losing output quality while you adjust.
Willingness to work hands-on with AI tools daily, and the curiosity to figure out what they are good and bad at rather than either avoiding or blindly trusting them.
Organised and reliable across a high volume of parallel cases without letting any of them go quiet.
Direct familiarity with Cambridge (O/A Level, IGCSE) or Pearson Edexcel (IGCSE, GCSE, A Level) curricula and assessment structures.
Prior experience in an EdTech, tutoring, school, or admissions environment.
Exposure to working alongside AI tools or automated workflows, and sound instinct for when to trust or override them.
Experience serving GCC-based families or other international markets.
