The Specialist plays a key role in planning, coordinating, and delivering career-related events and departmental initiatives, including career fairs, employer networking sessions, and internship programs. The position ensures effective coordination with recruiters, students, internal departments, vendors, and other stakeholders while supporting departmental operations through budget monitoring, inventory management, SAP processing, data analysis, reporting, and administrative coordination. The Specialist is responsible for maintaining accurate records, facilitating timely communication, and ensuring that all activities are delivered efficiently, professionally, and in alignment with institutional priorities.
Key Responsibilities
Career Events and Employer Engagement
- Career Fair Management: Support the end-to-end planning and execution of career fairs, including event scheduling, employer invitations, registrations, venue arrangements, logistics, student communication, and on-ground coordination.
- Networking Sessions: Coordinate employer networking sessions, information sessions, recruitment presentations, and other engagement activities that connect students with prospective employers.
- Recruiter Coordination: Serve as a point of coordination for recruiters by managing communication, schedules, participation requirements, logistical arrangements, and post-event follow-ups.
- Event Logistics: Coordinate venues, equipment, branding materials, refreshments, technology requirements, and other operational arrangements required for successful event delivery.
- Event Records and Feedback: Maintain records of employer and student participation and collect feedback to support evaluating and improving future events.
Internship Coordination
- Internship Opportunities: Support the identification, collection, and dissemination of internship opportunities across relevant academic programs and sectors.
- Employer and Student Coordination: Facilitate communication between employers, students, and internal stakeholders regarding internship requirements, application processes, deadlines, and selection activities.
- Internship Documentation: Maintain accurate records of internship opportunities, student applications, placements, employer details, and required documentation.
- Progress Monitoring: Track internship-related activities and follow up with relevant stakeholders to ensure the timely completion of required processes.
- Student Support: Respond to student queries and provide guidance regarding available internship opportunities, application procedures, and related departmental requirements.
Budget, SAP, and Inventory Management
- Budget Monitoring: Support the preparation, allocation, and monitoring of departmental and event-related budgets.
- SAP Processing: Initiate and track relevant transactions, requests, and documentation through SAP in accordance with institutional procedures.
- Expense Documentation: Maintain complete and accurate records of expenditures, invoices, approvals, reimbursements, and supporting documents.
- Inventory Management: Maintain updated records of departmental inventory, event materials, equipment, supplies, and promotional items.
- Resource Planning: Coordinate the availability and appropriate utilisation of resources required for departmental activities and events.
Data Analysis and Reporting
- Data Collection: Collect and consolidate data relating to career fairs, networking sessions, internships, employer participation, student engagement, and departmental activities.
- Data Analysis: Analyse operational and engagement data to identify participation patterns, outcomes, trends, and areas requiring improvement.
- Database Management: Ensure departmental databases, trackers, and internal systems are updated accurately and within required timelines.
- Management Reporting: Prepare periodic reports, summaries, presentations, and dashboards to support departmental planning and decision-making.
- Data Accuracy: Conduct regular reviews of records to identify and resolve incomplete, duplicate, or inaccurate information.
Departmental Operations and Support
- Operational Support: Provide day-to-day administrative and operational support for departmental programs, events, meetings, and initiatives.
- Departmental Coordination: Coordinate with internal departments, academic units, administrative offices, and external stakeholders to facilitate the timely completion of activities.
- Documentation: Maintain organised records of correspondence, approvals, schedules, event plans, reports, and process-related documentation.
- Meeting Coordination: Support meeting scheduling, prepare relevant materials, record action items, and follow up on agreed deliverables.
- Process Compliance: Ensure departmental activities are carried out in accordance with institutional policies, procedures, timelines, and approval requirements.
- General Support: Undertake additional departmental responsibilities and special assignments as required to support operational effectiveness and service delivery.

Qualifications
- Bachelor’s degree in Business Administration, Social Sciences, Human Resources, or a related field from an HEC-recognised institution.
- Master’s degree or relevant certifications in Human Resources, Career Development, or a related field.
Experience
- At least 3 years of relevant work experience in recruitment, higher education, employer relations, career services, or a related field.
- Experience in academic internship facilitation, student placement, or career services within a higher education environment.
