Weare seeking a diligent and organized Sales Coordinator to manage the seamless flow of orders and payments between hospitals, distributors, and our company. This role is crucial in ensuring that hospitals receive their orders promptly and accurately, while also maintaining efficient communication and documentation practices.

Key Responsibilities:

  1. Order Management:Receive and review orders from hospitals and distributors.Verify order details and ensure alignment with inventory availability.Coordinate with the logistics team to schedule and track deliveries to hospitals.
  2. Documentation and Record Keeping: Ensure proper documentation of orders received and process, delivery schedules, invoices, and any other relevant paperwork.Organize and manage shared documents and databases for seamless information flow.
  3. Customer Communication: Communicate proactively with hospitals and distributors regarding order statuses, delivery schedules, and any potential delays. Address any inquiries or concerns promptly and professionally.
  4. Quotation and Pricing Management: Prepare and share quotations with distributors based on product pricing and availability. Assist in negotiating terms and conditions as necessary. Ensure timely receipt of payments from distributors and follow up as needed.
  5. Payment Processing: Generate invoices accurately and in a timely manner. Coordinate with the finance department to reconcile payments received. Follow up with hospitals and distributors to ensure timely settlement of outstanding invoices.

Skills and Qualifications:

  • Proven experience of minimum 2 years in sales, supply chain management or a related field, preferably within the healthcare sector.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and manage time effectively.
  • Proficiency in using relevant software for order processing and documentation (e.g., ERP systems, Microsoft Office Suite).
  • Knowledge of healthcare supply chain operations and regulatory requirements is a plus.
