Mobilink Bank is seeking an Office Administrator to support workplace and admin services by managing stationery, kitchen and janitorial supplies, vendor coordination, pool car services, and office events.

The role emphasizes timely service delivery, accurate records, SOP adherence, and coordination with internal stakeholders and external vendors to ensure smooth operations across Head Office.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a relevant field.
  • MBA or relevant postgraduate qualification preferred.
  • Minimum 2 years of relevant experience, preferably within the microfinance or banking industry.
  • Strong coordination, communication, and interpersonal skills.
  • Proficiency in MS Office and administrative/workplace management systems.
  • Strong vendor management and follow-up skills.
  • Ability to manage multiple tasks, maintain accurate records, and work within defined timelines and SOPs.

Responsibilities

  • Maintain the Workplace Information System for all types of stationery and coordinate with relevant departments to ensure smooth processing and timely facilitation.
  • Manage and process monthly and quarterly requirements for kitchen and janitorial supplies for Head Office and maintain accurate records.
  • Verify and process vendor invoices in accordance with approved BOQs, SLAs, and POs.
  • Prepare PAFs and coordinate their submission to the Finance Department after obtaining approval from the relevant authority.
  • Process monthly and quarterly printed stationery requirements for Business Banking, Bank Operations, and other departments as requested.
  • Place stationery orders with approved vendors and ensure timely delivery of the required quantities.
  • Follow up with vendors regarding deliveries and ensure that Goods Receipts/GRNs and Delivery Challans are received and processed in accordance with SOPs.
  • Manage requests related to pool cars, including vehicle allocation and coordination with drivers and end users for official travel requirements.
  • Coordinate and manage arrangements for office events, in-house meetings, and other workplace activities.
  • Coordinate with the cafeteria vendor regarding menu planning and obtain weekly menu approvals.
  • Monitor food quality on a daily basis and communicate feedback to the cafeteria vendor to ensure service standards are maintained.
  • Coordinate with internal stakeholders and vendors to ensure timely resolution of workplace and administrative service requests.

Job Requirements
