Job summary

Indus Hospital is seeking an Executive, Talent Acquisition – Human Resources to manage end-to-end recruitment and onboarding across departments. You will collaborate with department heads to define requirements, source candidates via portals and referrals, and conduct screenings and interviews.

Responsibilities

  • Manage end-to-end recruitment for assigned positions/departments – from requisition to onboarding.
  • Collaborate with department heads to understand hiring requirements and candidate profiles.
  • Source potential candidates through job portals, social media, newspaper, employee referrals, and networking.
  • Conduct initial screenings, longlisting/shortlisting candidates, and schedule interviews.
  • Coordinate with designated panels for scheduling, assessments and interviews.
  • Ensure position requisitions (PRF’s) are processed after due validation of budget.
  • Coordinate for pre-employment medical, periodic employee medical and maintain record.
  • Preparation and issuance of timely processing of job offer letters, appointment letters, completion of onboarding documentation and personnel files as per the defined standards.
  • Responsible for employee personnel files record room management.
  • Maintain a database of approved vacancies and hiring status.
  • Provide recruitment updates and reports to management on a regular basis.
  • Facilitate the onboarding process for new hires, ensuring a smooth transition.
  • Coordinate induction/orientation sessions in collaboration with Learning & Development.
  • Collect and verify new hire documents and ensure timely data entry into HMIS and preparation of personnel file.
  • Build and maintain a strong talent pipeline for critical and recurring roles within assigned positions/departments.
  • Represent the Indus Hospital in job fairs, recruitment drives, and hiring events.
  • Promote the Indus Hospital as an employer of choice to support branding initiatives to attract and retain top talent.
  • Maintain and update recruitment records, candidate database, dashboards, position tracker, headcount statistics and metrics.
  • Ensure a smooth and professional candidate experience throughout the hiring process.
  • Ensure adherence to recruitment policies, standard operating procedures and audit and HR authorities’ matrix.
  • Maintain complete documentation for all recruitment processes and audit requirements.
  • Support internal and external audits related to recruitment activities.
  • Perform any other task assigned by the immediate supervisor that is commensurate with your knowledge and skills.
  • Serve as the primary contact for employee relations matters across the campus.
  • Address employee grievances promptly and effectively, ensuring fairness and confidentiality.
  • Support the Campus HR Lead in the resolution of workplace conflicts through counselling, mediation, and other interventions.
  • Maintain detailed records of employee relations cases, grievances, and disciplinary actions in soft data form and also fil relevant document to employee personnel files.
  • Investigate misconduct or policy violations in coordination with relevant stakeholders.
  • Prepare investigation reports and recommend disciplinary actions in line with ICOE determinations of violations referred in Employee Relations policy.
  • Coordinate and facilitate domestic inquiries including disciplinary committee and anti-workplace harassment committee, ensuring due process and documentation.
  • Forward financial embezzlement cases to Internal Audit and patient related complaints to Quality & Monitoring Directorate; also, facilitate them when needed.
  • Monitor corrective actions and ensure compliance with outcomes.
  • Ensure consistent interpretation and implementation of Employee Relation's policies and procedures.
  • Keep updated on labor laws and regulatory requirements; ensure organizational compliance.
  • Support audits and provide data or reports as required.
  • Collaborate with HR colleagues to foster a culture of inclusion, accountability, and respect. Perform employee degree verification through third-party vendor within due time as per policy and make follow-ups for the completion of process.
  • Perform employee reference check and ensure the completeness with the record.
  • Conduct Indus Code of Ethics (ICOE) sessions regularly to spread awareness among employees.
  • Prepare periodic reports on ER cases, disciplinary trends, and engagement outcomes.
  • Maintain confidentiality and integrity of employee relations matters.
  • Perform any other task assigned by the immediate supervisor that commensurate with your knowledge and skills
