Position Summary
The Executive Assistant to the Vice President will provide high-level administrative and organizational support to the Vice President, ensuring the smooth and efficient management of the VP's daily operations. The role demands exceptional discretion, strong communication skills, and the ability to manage competing priorities in a fast-paced, rapidly scaling professional services environment. The incumbent will act as a trusted point of coordination between the VP's office, internal departments, and external stakeholders.
Key Responsibilities
Calendar & Schedule Management
- Manage the VP's calendar, including scheduling meetings, appointments, and travel while proactively resolving conflicts and prioritizing engagements.
- Prepare daily and weekly schedule briefs, ensuring the VP is well-prepared for all commitments.
- Draft, review, and manage emails, memos, letters, and other correspondence on behalf of the VP with a high standard of professionalism and confidentiality.
- Screen and prioritize incoming communications, escalating matters requiring the VP's immediate attention.
- Serve as the first point of contact for the VP's office, liaising with department heads, clients, and external partners.
Meeting Coordination & Follow-Up
- Organize internal and external meetings, including agenda preparation, logistics, and documentation.
- Record minutes of meetings, track action items, and follow up with relevant stakeholders to ensure timely closure.
Documentation & Reporting
- Prepare presentations, reports, and briefing documents for the VP's review and use.
- Maintain organized filing systems (digital and physical) for the VP's office, ensuring quick retrieval of records.
- Support the preparation of periodic departmental and management reports.
Travel & Event Support
- Coordinate domestic and international travel arrangements, including itineraries, visas, and accommodations.
- Assist in planning and executing executive-level events, off sites, and corporate engagements.
Confidentiality & Office Administration
- Handle sensitive information with absolute discretion and integrity.
- Manage expense reports, reimbursements, and procurement requests for the VP's office.
- Perform ad-hoc tasks and special projects as assigned by the VP.
Requirements
Required Qualifications & Experience
- Bachelor's degree in Business Administration, Management, or a related discipline from a recognized institution.
- 1–2 years of relevant experience as an Executive Assistant, Personal Assistant, Admin Officer, or in a similar coordination-focused role.
- Demonstrated experience supporting senior management or working in a corporate office environment is preferred.
- Excellent written and verbal communication skills in English.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Google Workspace is a plus.
- Exceptional organizational and time-management skills with strong attention to detail.
- Ability to multitask, prioritize, and perform under pressure with minimal supervision.
- High level of professionalism, discretion, and emotional intelligence.
