Job description

The position is responsible for accurately entering data into relevant systems and ensuring its proper organization and management. It also involves generating reports based on collected data, presenting insights through charts, tables, and summaries for decision-making and analysis.

Main Responsibilities:

Data Entry and Accuracy:

  • Enter all program-related data into designated systems, ensuring records are current, consistent, and error-free.
  • Regularly update existing records to reflect new information, corrections, or adjustments.
  • Conduct proofreading and cross-checking of data against source documents (e.g., reports, forms, registers) to eliminate discrepancies.
  • Perform spot checks and quality control on entered data to maintain high levels of accuracy.
  • Collaborate with Divisional Coordinators and the Statistician to ensure uniformity in data entry methods and verification processes.
  • Maintain clear filing systems (digital and physical) for easy retrieval of original documents and backups.

Report on generation & Efficiency:

  • Generate periodic and ad-hoc reports from databases to support program planning, decision-making, and monitoring.
  • Present findings using visual formats such as charts, graphs, and tables to make information more accessible.
  • Summarize large datasets into clear and concise narratives, highlighting key trends and insights.
  • Support program and management staff by customizing reports for donor requirements, presentations, and internal reviews.
  • Develop and adopt streamlined data entry processes (templates, forms, or checklists) to reduce duplication and save time.
  • Share recommendations for improving workflows, ensuring data entry tasks are completed quickly and accurately.
  • Identify and report technological or other issues that may impact data entry and productivity.
  • Follow organizational policies and guidelines to ensure compliance with data management standards.
Competencies and Skills:
  • Strong ability to enter, update, and verify data with precision.
  • Proficiency in conducting qualitative and quantitative research and interpreting data.
  • Skilled in drafting reports, summaries, and policy briefs based on findings.
  • Effective in engaging with stakeholders and ensuring smooth information flow.
  • Experience with data management systems, statistical tools, and IT applications.
  • Ability to address challenges, improve processes, and work under tight deadlines.

Job Requirements:

  • I.C.S. or F.A./F.Sc with a diploma/certificate in IT from a recognized institute.
  • Minimum of 2 years of experience in a relevant field.
  • Proficient working on Ms. Office specially excels.
  • Typing speed of at least 30 words per minute.
  • Fluency in spoken and written English.
  • Strong interpersonal skills for effective communication and collaboration.
  • Ability to deliver results on time using strong analytical, decision-making, and planning skills.
  • Proficiency in utilizing available resources effectively to optimize performance.
  • Carry out any other task assigned by the supervisor.
