About the Role
We are looking for a Document Controller to serve as the custodian of True North's Integrated Management System and the engine behind our internal audit programme. Based in Lahore and reporting to the QHSE Manager, you will ensure every policy, procedure, form, and record across the company is current, controlled, traceable, and audit-ready at all times. You will work closely with project leads, site supervisors, HR, and senior management to maintain our ISO certifications and prepare the organisation for internal, client, and external audits.
Key Responsibilities
Document Control
- Maintain the master register of all controlled documents across QMS, EMS and OH&S systems.
- Manage document creation, review, approval, issue, distribution, revision, retrieval and archival in line with the IMS procedure.
- Enforce version control, unique document IDs, revision histories and obsolete-document handling.
- Maintain both hard-copy and electronic document repositories with proper access controls and backup.
- Ensure controlled distribution to relevant sites, departments and project teams, and timely withdrawal of superseded copies.
- Maintain records retention schedules in line with ISO and contractual requirements.
ISO Auditing
- Plan, schedule and conduct internal audits across departments and project sites per the annual audit plan.
- Prepare audit checklists, audit programmes and audit reports; track findings to closure.
- Coordinate non-conformance reports (NCRs), root cause analysis, corrective and preventive actions (CAPA), and verify effectiveness of actions taken.
- Act as the focal point during external surveillance and recertification audits by certification bodies.
- Support client and third‑party audits, including preparation of evidence files and audit responses.
- Maintain audit trails, audit records and the audit non‑conformance register.
Management System Maintenance
- Keep IMS manuals, procedures, work instructions, forms, registers, policies and objectives current and aligned with ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018.
- Support Management Review Meetings: prepare inputs (audit results, NCRs, KPIs, customer feedback, risks) and document outputs and actions.
- Maintain risk and opportunity registers, legal and regulatory compliance registers, and aspect/impact and hazard/risk registers.
- Drive continuous improvement initiatives and monitor IMS KPIs.
- Conduct IMS induction for new joiners and refresher training for existing staff.
- Train site and office teams on document control procedures, audit readiness and ISO requirements.
- Maintain training records, competency matrices and awareness logs.
Reporting & Coordination
- Prepare monthly QHSE and document‑control reports for senior management.
- Liaise with project managers, site teams and clients on documentation and compliance matters.
- Coordinate with the certification body on audit schedules, certificates and scope amendments.
About You
- Bachelor's degree in Engineering, QHSE, Business Administration, or a related discipline.
- 3–5 years of hands‑on experience as a Document Controller in an ISO‑certified organisation.
- Demonstrable experience with ISO 9001, ISO 14001, and ISO 45001 documentation and audit cycles.
- Certified Internal Auditor for ISO 9001, ISO 14001, and/or ISO 45001 (IRCA / Exemplar Global recognised course preferred).
- Strong working knowledge of MS Office and document management practices; familiarity with SharePoint or DMS platforms is a plus.
- Excellent written and spoken English — able to draft procedures, audit findings, and management reports with clarity and precision.
- Lead Auditor certification and prior experience in a Facility Management or Project Management organisation are a distinct advantage.
- Meticulous attention to detail and an uncompromising standard of accuracy across all documentation and audit outputs.
- Strong sense of ownership and follow‑through — closes corrective actions, NCRs, and audit loops without being chased.
- Clear, professional communication in both written and verbal form, with the confidence to challenge gaps and drive closure during audits.
- Highly organised and methodical, with the ability to manage document streams across multiple sites and departments simultaneously.
- Confidentiality and integrity in handling sensitive company, client, and certification body information.
