Job summary

Prople BPO Inc. in the Philippines seeks an Order Management specialist to handle external customer orders through warehouse processing and related tasks.

You will verify orders, coordinate with Sales & Marketing, prepare SPR and ICF, arrange transportation, monitor deliveries, and ensure proper inbound posting and POD documentation to support timely invoicing and customer satisfaction. • Willing to be assigned in McKinley, Taguig.
• Can start ASAP.

Responsibilities

• Order Management and warehouse processing for external customers.
• Verify orders, coordinate with Sales & Marketing, and ensure timely fulfillment.
• Prepare SPR/ICF with complete supporting documents and manage stock references.
• Arrange transportation for invoiced orders and monitor delivery status.
• Inbound posting, GR/reception, replenishment and related documentation.
• Monitor POD documentation and ensure timely invoicing and collections.

Role & Responsibilities:

Order Management (External Customers) – Warehouse Processing

a. Order Completion and fulfillment as per general order process to include:

• Order inquiry and verification to clear up missing information and inconsistencies
• Order coordination and communication with customers and internal groups (Sales & Marketing: timing, order details, etc.)
• Picking confirmation and invoicing

b. Prepare with complete supporting documents all Spare parts Requests (SPR) and Instrument

Change Form (ICF) Observe and refer to the Stock on Hand (“SOH”) reports in communication and allocation stocks to meet customer orders.

c. Booking of transportation needed for the invoiced orders to third party logistics (via land, via sea or via air).

d. Monitor delivery status to customer.

Inbound Posting/Processing

• a. GR/Reception Posting
• Posting of replenishment stocks from source to DBS and MDI
• Ensure proper documentations are submitted to concerned parties
• Monitor Inbound by coordinating with Import Supervisor and prepares Advance Shipping Notification
• b. Credit Memo ("CM" Processing)
• Perform credit memo processing of Returned Goods, Delivery Rejects or Variances and Pull-out Request (Authority to Pullout)
• Ensure approval and proper documentation of the processed Credit Memos.

Proof of Delivery ("POD") Documentation

• a. Monitor availability of signed proof of delivery as per set schedule and guidelines to ensure on time payment and collection.
• b. Monitor timely submission of other Invoicing and Credit Memo documents as per Corporate Finance Services ("CFS"), Audit and Customer’s requirements.

Reporting and Monitoring

• a. Ensure accounting of all Customer Purchase Order
• b. Route to signatories and file all Order Processing reports (Proof list, Price Override, shipped but un-invoiced, Request for Credit Memo and Debit Memo ("DM’), Orders Audit Trail etc.)
• c. Provide sales status report as per request.

Goods Destruction

• a. Witnessing of inventory destruction on site
• b. Ensures proper documentation is always observe
