Our client is a long-established US community association management company, based in Arizona, that specializes in large-scale, master-planned communities. When a community moves to them from another management company, or moves on, someone has to run that handover end to end: the books, the documents, the people and the deadline.
That is this role. It is a hybrid: part transition project manager, part transition accountant. You will coordinate internal teams and the outside management company to a firm date, and you will personally handle the accounting every transition needs: importing trial balances, homeowner data and receivable balances, reconciling the prior manager's cash, running month-end close, and handing clean books to the Community Accounting team.
You will be the single point of contact for the other management company, so clear writing, steady follow-up and good judgment with money and confidential information matter as much as accounting skill.
Key Responsibilities
Transition Project Management
- Oversee the execution of incoming management contracts and notify internal teams in good time.
- Act as the primary point of contact for the prior or new management company, monitoring and communicating outstanding items and follow-ups.
- Assign tasks to internal teams and monitor progress to ensure timely completion.
- Track and manage task deadlines so internal parties meet their goals.
Transition Accounting
- Import trial balances, homeowner data, and accounts receivable balances from the prior management company.
- Reconcile prior-management-company cash so the community's opening balances are proven, not assumed.
- Run month-end close for transitioning communities and hand responsibilities to the Community Accounting team.
- Transfer and enroll utilities on autopay, and manage and track subsidy billing distributions.
Documents, Reporting and Communication
- Request, receive, organize, and track every transition-related document.
- Provide regular, summarized transition-status reports for Leadership Team review.
- Develop and distribute standardized collateral, such as welcome letters and checklists, that support the transition.
- Identify process improvements that increase efficiency and improve the transition experience.
- Perform additional duties as needed to support the transition process.
Required Qualifications
- Bachelor's degree in Accounting or Finance.
- 2+ years of experience in project management, administration, accounting, or a related field.
- Solid accounting knowledge and hands-on experience with accrual accounting.
- Intermediate knowledge of Microsoft Office (Word, Excel, Outlook).
- Highly organized and detail-oriented, able to multitask and meet deadlines.
- Able to work independently with limited supervision.
- Able to establish and maintain good working relationships.
- A positive attitude and effective written and verbal communication with audiences at every level, inside and outside the company.
- Able to maintain confidentiality of information.
- An analytical thinker with strong problem-solving skills.
- Available Monday to Friday, 8:00 AM – 5:00 PM Arizona time (US Mountain Standard Time), which is 11:00 PM – 8:00 AM Philippine time. Arizona does not change its clocks for daylight saving, so this shift stays the same all year.
Preferred Qualifications
- Community management or HOA industry experience (highly preferred).
- Familiarity with community association accounting software.
- Prior remote work with US or other Western clients.
Tools & Software
- Community association accounting software (the client's system; training on their setup is expected).
- Microsoft Excel: lookups (XLOOKUP, VLOOKUP), pivot tables and reconciliations.
- Microsoft Word and Outlook for letters, checklists and correspondence.
- Microsoft Teams and OneDrive for day-to-day work with Remote Raven.
What Makes You a Great Fit
- You have moved books from one system or provider to another and you know the opening balances are only right once they tie.
- You reconcile to zero, and when something will not reconcile you say so instead of making it disappear.
- You keep a task list with owners and dates, and you chase politely and early, before a deadline is at risk.
- You can write a short status update that tells a busy leader what is at risk and what you need from them.
- You are careful with homeowners' personal and payment information, and you verify before you change anything to do with money.
