Supervising Associate - AWS EA COE (US Nightshift)
Job Summary: The Supervising Associate within the Executive Assistant Center of Excellence (EA CoE) plays a key role in supporting the delivery of seamless administrative services across the organization. This role functions as a bridge between individual Executive Assistants and leadership, ensuring the consistent execution of operational tasks, supporting team efficiency, and driving continuous improvement. The Supervising Associate also acts as a mentor, resource person, and quality champion within the team.
Key Responsibilities
Team Coordination & Oversight
- Support the Team Leader in managing daily task allocations and service coverage across the EA team.
- Monitor team performance against key metrics and ensure compliance with service standards.
- Coordinate onboarding, buddy systems, and knowledge‑sharing activities for new or transitioning Executive Assistants.
- Step in to provide high‑level executive support during peak times or in the absence of an EA.
Quality & Process Assurance
- Perform periodic quality checks on administrative deliverables (e.g., calendars, travel itineraries, expense reports).
- Identify process inefficiencies and contribute to the development and documentation of improved workflows.
- Champion adherence to standardized tools, templates, and best practices.
Stakeholder Communication
- Serve as a point of contact for resolving operational queries from Executive Assistants or supported executives.
- Support internal communications between team members and leadership to ensure alignment on priorities.
- Assist with gathering and reporting feedback from stakeholders for performance reviews and service improvements.
Coaching & Support
- Mentor Sr Associate or new Executive Assistants to help them build confidence and capability in their roles.
- Provide just‑in‑time support on tools, task management, and executive communication etiquette.
- Help identify training gaps and propose learning opportunities or resources.
Administrative Excellence
- Uphold high standards of professionalism, confidentiality, and service quality across all team outputs.
- Stay updated on the latest tools, applications, and best practices in executive support.
Qualifications
Education
- Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
Experience
- Minimum of 3–5 years of experience as an Executive Assistant or Administrative Associate.
- Prior experience in a supervisory, senior EA, or mentoring capacity is preferred.
- Experience in a Center of Excellence or shared services setting is an advantage.
Skills

- Proficiency in Microsoft Office 365, calendar and travel management tools, and virtual collaboration platforms (e.g., Teams, Zoom).
