Job Description

Main Duties and Responsibilities:
I. Program Planning and Development

  • Leads the short-term and long-term development of formation programs for the assigned year levels
    • Meets with the OVPMI team and the relevant offices per year level to revisit, refine, and/or plan formation programs and Program Expected Learning Outcomes (PELO)
    • Researches and identifies new areas for growth and collaborative opportunities with other institutions and groups
  • Ensures the alignment and integration of formation programs for the assigned year level with the Higher Education academic curriculum through collaboration with academic and formation stakeholders
    • Partners with faculty members and academic departments to refine and align module design and content with formation objectives and the academic curriculum
    • Coordinates with other Student Formation Coordinators to promote continuity and developmental progression of formation programs across all year levels

II. Program Implementation

  • Manages the logistical and administrative requirements necessary for smooth program operations
    • Coordinates venue reservations and logistical setups for all program activities
    • Coordinates and negotiates with faculty members on matters related to student enlistment, scheduling, and room assignments
    • Receives and verifies grade submissions from faculty members and posts the grades in the system
  • Sources, selects, and orients program facilitators and resource persons
  • Mentors individual students and/or student groups, as applicable to the program
    • Develops activities and sessions to help students with their role in the program
    • Provides individual consultation sessions to guide them in their role in the program
  • Monitors the financial requirements of assigned formation programs to ensure adherence to approved budgets
    • Consolidates budget proposals from partner offices for assigned year-level programs
    • Monitors the utilization of program budgets and tracks expenses throughout the year
    • Monitors the financial status of assigned programs through Integrated Ateneo Formation (InAF) DCBs and reviews related budgetary requirements
    • Reviews and monitors the processing of liquidations for assigned year-level programs
    • Processes requests for compensation of facilitators and deliverers, as applicable

III. Program Monitoring, Evaluation, and Reporting

  • Develops or uses current evaluation tools such as surveys, interviews, and focus groups to gather feedback on program runs, and analyzes the data collected to derive actionable insights and recommendations for enhancing formation program strategies
  • Prepares detailed evaluation reports documenting findings, insights, and recommendations for program outcomes
  • Coordinates the implementation of approved changes and enhancements to formation programs and provides feedback and recommendations to the Director and relevant stakeholders

IV. Stakeholder Engagement

  • Serves as the primary point of contact for formation program-related inquiries for assigned year levels, acting as the initial touchpoint for offices, students, and external organizations
  • Identifies and engages potential partners, including academic institutions, organizations, and training providers, to expand formation program offerings and initiatives
  • Represents the assigned formation programs in University-related gatherings and meetings

V. Performs other duties as may be assigned by the immediate supervisor, or any authorized representative

  • Program Design Expertise: Possesses knowledge and experience in developing and designing programs tailored to specific needs and objectives
  • Team Player: Collaborates effectively within a team environment, fostering cooperation and contributing positively
  • Networking/Relationship-Building Skills: Ability to establish good working dynamics with all internal and external partners
  • Technological Savvy: Demonstrates proficiency in Microsoft Office Applications and other Internet applications

  • Proactivity and Innovation: Demonstrates proactive behavior and the ability to work autonomously with minimal supervision, taking initiative to address challenges and pursue opportunities for improvement
  • Ignatian Spirituality and Student Development: Strong knowledge on Ignatian spirituality concepts and practices, formation principles, and student development frameworks, applied in program design and implementation


Education and Experience Requirements:

  • Graduate of any Bachelor’s degree
  • At least three (3) years of relevant experience in formation programs, training, facilitation, or project management
  • Familiarity with Ignatian Spirituality and Pedagogy is an advantage
