The Qualifications We Seek
Education
- Bachelor's degree in Information Technology, Computer Science, Software Engineering, Business Administration, or a related field; relevant equivalent experience may be considered
- Professional certifications in IT Portfolio Management, Project Management, Agile, ITIL, Software Asset Management, or related disciplines, preferred
Experience
- At least 3-5 years of relevant experience in Software Asset Management and Software Licensing
- Proven experience independently managing or coordinating software applications, products, platforms, subscriptions, or technology initiatives across multiple stakeholders
- Experience in software lifecycle management, license and subscription management, vendor coordination, portfolio optimization, or technology governance, highly preferred
Skills and Knowledge
- Strong knowledge of Software Portfolio Management, software and application lifecycle management, technology portfolio governance, and portfolio optimization principles
- Strong understanding of software development lifecycles, Agile methodologies, technology architecture, application dependencies, and technology roadmaps
- Strong understanding of software licensing and subscription management, including renewals, entitlements, utilization, compliance, and cost optimization
- Working knowledge of portfolio financial management, including budgeting, cost analysis, cost optimization, investment evaluation, and value realization
- Ability to assess software and technology investments based on business requirements, strategic alignment, cost, risk, technical considerations, utilization, and lifecycle requirements
- Strong analytical and problem-solving skills, with the ability to interpret complex portfolio information and translate findings into actionable insights and recommendations
- Strong stakeholder management, communication, presentation, facilitation, and influencing skills
- Ability to manage competing priorities, cross-functional dependencies, risks, and portfolio-level trade-offs
- Strong business and technology acumen, with the ability to connect software portfolio decisions to organizational objectives and operational requirements
- Proficiency in portfolio management tools, reporting platforms, data analysis, and dashboarding
- Strong attention to detail, with the ability to maintain accurate, complete, and audit-ready portfolio records and documentation
- Demonstrated ability to provide functional guidance, mentorship, and knowledge-sharing to team members and stakeholders
- Ability to establish and maintain portfolio governance, standards, processes, controls, and reporting disciplines while supporting effective and consistent team execution
Your Daily Tasks
License Compliance - Security, Privacy, Legal & Conduct
- Manage software license compliance activities and ensure subscriptions and licenses align with vendor terms, EULAs, internal policies, and applicable regulatory requirements
- Partner with IT Security to identify, assess, and address unauthorized or unvetted software, including shadow IT
- Recommend appropriate remediation and elevate material security or compliance risks
- Coordinate with Legal and Data Privacy stakeholders on subscriptions that involve employee or client data
- Ensure completion of required assessments, documentation, and controls
- Review license agreements, terms of service, and contractual provisions to identify material risks, exceptions, or unfavorable terms
- Coordinate with Legal on appropriate actions for identified contractual concerns
- Monitor software usage and procurement activities for compliance with Emapta's Code of Conduct, policies, and acceptable-use standards
- Maintain complete, accurate, and audit-ready compliance governance documentation and supporting evidence
Subscription Lifecycle Management - Sign-Up, Renewal & Termination
- Manage end-to-end software subscription activities, from intake and business justification through activation, renewal, optimization, and termination
- Evaluate subscription requests against business requirements, budget availability, vendor due diligence, and compliance requirements
- Provide recommendations within delegated authority
- Manage the subscription renewal portfolio and calendar
- Analyze utilization, business value, contractual terms, and cost optimization opportunities to support renewal decisions
- Coordinate timely termination of unused, redundant, or no-longer-required subscriptions, including data retrieval, license de-provisioning, and billing reconciliation
- Maintain accurate and complete subscription records, including ownership, cost, contract terms, renewal dates, utilization, and status
- Identify opportunities to consolidate, optimize, or rationalize subscriptions based on utilization and business requirements
Entitlement Tracking - Qualification & Disqualification
- Apply established entitlement qualification standards to align software access with role requirements, departmental needs, and approved business use
- Conduct periodic entitlement reviews to identify inactive, duplicate, unnecessary, or misaligned access
- Coordinate timely license removal or reassignment
- Partner with IT and department stakeholders to monitor license utilization
- Recommend appropriate license reallocation, rightsizing, or reclamation
- Maintain accurate and auditable records of entitlement grants, modifications, and revocations in alignment with IT identity and access management processes
- Provide guidance to stakeholders on entitlement requirements, access qualification, and appropriate license utilization
True-Up Risk Management
- Monitor software license consumption against contracted volumes and identify potential true-up exposure through established reports and controls
- Analyze consumption trends and risk indicators
- Recommend license reallocation, rightsizing, or procurement adjustments to mitigate potential exposure
- Prepare and consolidate true-up exposure assessments, usage data, and supporting analyses for review by the SPM Department Head and Finance
- Support vendor true-up discussions and negotiations through usage evidence, consumption analyses, and commercial recommendations
- Escalate material financial, contractual, or compliance risks associated with potential true-up exposure
Software Vendor & Stakeholder Relationship Management
- Manage day-to-day relationships with assigned software vendors across renewals, commercial inquiries, service issues, escalations, and performance concerns
- Monitor vendor performance against contractual commitments, service expectations, and business requirements
- Recommend corrective actions when appropriate
- Prepare utilization analyses, cost information, and recommendations to support vendor business reviews, renewal discussions, and contract negotiations
- Build effective working relationships with IT, Facilities, Legal, Finance, Security, and business stakeholders
- Serve as a subject-matter resource for subscription-related concerns
- Resolve issues within delegated authority and elevate complex or high-risk matters to the SPM Department Head
- Represent the SPM function in relevant stakeholder discussions
- Provide informed recommendations based on portfolio data, policies, and business requirements
Project Software Management
- Manage software provisioning, licensing, and subscription requirements for assigned business and technology projects
- Ensure software requirements are appropriately scoped, implemented, monitored, and decommissioned
- Lead assigned workstreams within the IT subscription optimization roadmap
- Coordinate priorities, timelines, deliverables, and success measures
- Coordinate software rollouts, migrations, consolidations, and optimization initiatives with project sponsors, IT, vendors, and business stakeholders
- Identify and assess project-level licensing, cost, compliance, adoption, and implementation risks
- Coordinate appropriate risk mitigation measures
- Monitor and report business and financial outcomes from assigned software optimization initiatives
- Provide recommendations to the SPM Department Head
- Contribute subject-matter expertise to project planning and decisions related to software licensing, subscriptions, and portfolio management
Functional Expertise & Team Support
- Serve as a subject-matter expert on software portfolio management processes, policies, controls, and operational practices
- Provide guidance and knowledge support to SPM team members on complex subscription, licensing, entitlement, compliance, and vendor-related matters
- Review selected work outputs and provide technical or functional guidance to promote accuracy, consistency, compliance, and adherence to established processes
- Support the SPM Department Head in translating portfolio management frameworks, priorities, and policies into consistent operational practices
- Share knowledge, best practices, and process guidance to strengthen overall team capability and service delivery
- Serve as an escalation point for complex operational matters within the specialist's area of expertise
- Escalate matters that require management decisions or exception approvals
Continuous Improvement & Operational Excellence
- Identify opportunities to improve SPM processes, controls, reporting, automation, and service delivery
- Analyze operational data and recurring issues to identify process gaps, inefficiencies, and improvement opportunities
- Recommend and support process enhancements, automation initiatives, and control improvements
- Develop and maintain operational documentation, process guides, and reporting standards to promote consistency and scalability
- Monitor the effectiveness of implemented improvements
- Provide recommendations for further optimization
