Job Overview
We are seeking a highly proactive, detail-oriented, and self-sufficient Offshore Accountant / Bookkeeper to manage the day-to-day financial and administrative accounting operations for a growing Australian commercial construction business. This role goes beyond basic data entry. It requires hands-on ownership of MYOB, fortnight payroll execution, project-level reporting, accounts payable/receivable, trade credit account maintenance, supplier compliance collation (insurances/OH&S), and ATO compliance prep (BAS/IAS/TPAR). The role also oversees preliminary record-keeping for Family Trust and Self-Managed Super Fund (SMSF) entities. A critical requirement of this position is active, seamless daily communication. The candidate must possess a reliable, high-speed internet connection capable of supporting clear inbound and outbound phone calls through the company’s VoIP system. We are looking for an independent professional who answers accounts calls promptly, actively follows up on approvals, and ensures financial workflows move forward without bottlenecks.
Key Responsibilities
1. Core Financial Operations & Project Administration
MYOB Management: Handle daily data entry to maintain up-to-date administration of finances across all active jobs.
Project Financial & OH&S Reporting: Prepare monthly reports for Project Managers detailing project financial and OH&S status, specifically generating Project P&L from MYOB.
Sales Invoicing & AR: Generate and send sales invoices as required on each project, issuing timely debtor statements and follow-up reminders.
Accounts Payable & Procurement Analysis: Prepare subcontractor and supplier invoices for project team approval, analyze office/procurement expenses, and manage payment proposals.
Trade Credit & Compliance Collation: Apply for and maintain trade credit accounts; collect and collate supplier insurances (Public Liability and Workers' Compensation) and maintain office OH&S records.
Bank & Entity Reconciliations: Perform regular bank and credit card reconciliations, maintaining organized records for the main construction entity, Family Trust, and SMSF.
2. Payroll & Australian Tax Compliance Support
Execute fortnight staff and subcontractor payroll accurately and on schedule, including superannuation tracking and leave calculations.
Compile and assist in the preparation of monthly and quarterly data for Business Activity Statements (BAS), IAS, superannuation, and annual Taxable Payments Annual Reports (TPAR).
3. Client, Trade & Team Relationships (Communication & VoIP)
VoIP System & Phone Coverage: Actively receive and make accounts-related phone calls via the company's VoIP platform, taking detailed messages and directing calls to team members promptly.
Correspondence Tracking: Maintain a clean, effective paper and digital audit trail of all correspondence relating to accounts, trades, and administration.
Meeting Participation: Participate in internal coordination meetings with staff and the Managing Director, accurately taking and distributing meeting minutes when required.
Proactive Escalation: React promptly to client and subcontractor requests for information, ensuring potential problems are communicated early rather than left unresolved
Qualifications & Experience
3+ years of hands-on Australian bookkeeping and accounting experience.
Direct experience in the Australian Commercial Construction industry (strong understanding of subcontractor progress claims, retention management, variations, and trade accounts).
Minimum 2+ years of daily operational experience using MYOB (Advanced / Essentials).
Solid understanding of Australian tax requirements (GST, BAS/IAS, Superannuation, and TPAR).
Exposure or familiarity with construction software integrations (e.g., Procore, OneCore, or similar) is highly regarded.
Experience or willingness to handle preliminary bookkeeping for Family Trust and SMSF entities.
