Job Description
The Senior Accounts Payable supports the financial operations of multiple strata schemes by ensuring accurate and timely processing of supplier invoices, compliance charges, and payment batches within the strata accounting system (e.g., Strata Master). This role manages vendor accounts, liaises with Strata Managers for approvals, ensures correct allocation of expenses to each strata plan, and maintains high standards of compliance, accuracy, and audit readiness.
KEY SKILLS:
1. Invoice Processing (Strata-Specific)
- Receive, review, and process supplier invoices for multiple strata schemes.
- Validate invoices against work orders, service requests, contracts, or approved quotes.
- Ensure correct coding to the appropriate strata plan, expense category, and GL account.
- Confirm all required supporting documentation is attached before posting.
- Identify duplicate invoices, errors, or unapproved works and elevate where needed.
2. AFSS & Compliance-Related Invoices
- Process Annual Fire Safety Statement (AFSS) and other compliance-related charges.
- Ensure correct allocation, supporting documents, and approvals from Strata Managers.
- Track unusual or high-value compliance expenses and report to Senior Accountant.
3. Payment Run Preparation
- Prepare daily, weekly and monthly payment batches in Strata Master or relevant banking systems.
- Ensure all invoices included have the required strata manager approvals.
- Submit payment batches to the Senior Accountant/Finance Manager for final review.
- Validate payment details, supplier banking information, and invoice accuracy before release.
4. Supplier & Strata Manager Communication
- Respond promptly to supplier queries regarding payment status, discrepancies, or missing documentation.
- Liaise with Strata Managers to obtain invoice approvals or clarify coding and documentation.
- Maintain professional, consistent communication to support positive relationships.
5. Supplier Account Maintenance & Reconciliation
- Reconcile supplier statements monthly and resolve discrepancies.
- Maintain updated supplier records including ABNs, compliance documents, and bank details.
- Flag unusual activity, credit issues, or repeated supplier errors.
6. Financial Accuracy & Compliance
- Ensure all AP transactions comply with legislative requirements, strata accounting standards, and internal controls.
- Assist with preparation of audit files by providing invoice histories, payment records, and supporting documents.
- Ensure that all AP processes meet accuracy standards, especially in multi-plan environments.
7. Month-End Support
- Prepare AP accruals for unprocessed or unpaid invoices.
- Assist with expense reconciliations and reports for strata plans.
- Ensure AP ledger is complete and accurate for month-end close.
8. Systems & Process Improvement
- Use Strata Master/AP modules efficiently to maintain data accuracy.
- Support improvements to AP workflows, automation, and document management.
- Ensure digital invoices and supplier documents are filed correctly for audit traceability.
Qualifications and Requirements
Required Skills & Qualifications
- Certificate, Diploma, or Bachelor’s degree in Accounting, Finance, Business, or related field (preferred but not always required).
- 1–3+ years of accounts payable experience.
- Proficiency with accounting software (e.g., Xero, Strata Master, etc.).
- Strong understanding of AP processes and internal controls.
- High attention to detail and accuracy.
- Good organisational and time-management skills.
- Strong communication and problem-solving abilities.
- Ability to work independently and meet deadlines.
