Job summary

Clark Outsourcing is seeking a Scheduling Specialist to join our on-site team at Clark Pampanga. You will manage patient appointments, verify insurance details, and coordinate with providers to maintain a smooth scheduling workflow.

Qualifications

  • Bachelor’s degree or equivalent experience in healthcare administration, customer service, or a related field preferred.
  • 2–3 years of experience in scheduling roles, healthcare administration, or customer service.
  • Experience with EHR or other medical scheduling tools preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

Responsibilities

  • Serve as the first point of contact for patients, staff, and healthcare providers, offering prompt and professional support.
  • Help patients schedule, reschedule, and confirm appointments, ensuring accurate information is recorded.
  • Answer questions about appointments, services, insurance, and policies.
  • Resolve issues or complaints related to scheduling and provider availability.
  • Communicate clearly with patients and internal teams about any changes or updates.
  • Manage patient scheduling by ensuring appointments are aligned with patient preferences, staff availability, appropriate skill levels, and all case requirements.
  • Reschedule appointments with minimal disruption to patient care.
  • Track cancellations and no-shows, rescheduling as needed.
  • Ensure all appointments are accurately documented in the system.
  • Support providers in balancing appointments with other tasks.
  • Help patients understand their insurance coverage and gather required information.
  • Coordinate with the insurance team to verify coverage and obtain necessary authorizations.

Quick Rundown:

The Customer Care Specialist is responsible for delivering outstanding customer service by handling patient and healthcare provider inquiries, managing appointment scheduling, and assisting with resolving issues related to patient care. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks while ensuring a positive experience for patients, healthcare providers, and internal teams.

What You’ll Do:

Customer Support & Communication:

  • Serve as the first point of contact for patients, staff, and healthcare providers, offering prompt and professional support
  • Help patients schedule, reschedule, and confirm appointments, ensuring accurate information is recorded
  • Answer questions about appointments, services, insurance, and policies
  • Resolve issues or complaints related to scheduling and provider availability

  • Maintain up-to-date patient records, including appointment history and insurance status

Collaboration with Internal Teams:

  • Work closely with, admin staff, and providers to ensure a smooth workflow
  • Collaborate across departments to ensure accurate processes for scheduling and insurance.

Compliance & Confidentiality:

  • Follow HIPAA and privacy regulations in handling patient and employee information
  • Keep all records and communications confidential and professional

Customer Experience & Process Improvement:

  • Collect feedback and suggest ways to improve scheduling, communication, and service

What We’re Looking For:

  • Bachelor’s degree or equivalent experience in healthcare administration, customer service, or a related field preferred
  • 2–3 years of experience in scheduling roles, healthcare administration, or customer service
  • Strong written and verbal communication skills for interacting with patients, providers, and internal staff
  • Effective problem-solving and conflict resolution abilities
  • High attention to detail and accuracy when handling records, insurance, and appointments
  • Familiarity with healthcare terminology and scheduling systems
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with EHR or other medical scheduling tools preferred
  • Strong organizational and multitasking skills in a fast‑paced environment
  • Ability to handle confidential patient data securely and in compliance with HIPAA
  • HIPAA certification preferred or willingness to obtain
