Job summary

Will Decena and Associates Inc. is seeking a detail‑oriented records officer in the Philippines to manage GRPO entries in SAP for materials at project sites, verify documents, and support asset maintenance records.

The role requires at least 1 year of relevant experience and a four-year business degree. Candidates will also handle documentation flow, assist in annual physical inventories, and ensure accuracy of receiving and issuing records across divisions.

• Graduate of any four-year business-related degree course.
• At least 1 year of relevant work experience.
• Experience as an Audit Assistant is an advantage.

Responsibilities

• Records GRPO to SAP for materials delivered directly to project sites.
• Checks GRPO entries recorded by MMD to SAP for materials delivered to Warehouse.
• Checks entries of issuances and transfers recorded by MMD to SAP for materials issued/delivered to project sites.
• Checks project site receiving reports and project site issuances of materials recorded by warehousemen to SAP.
• Monitors accountable forms issued per project warehouse and checks the completeness of accountable form series per booklet.
• Assists in conducting random physical counts per project site and identifying non-moving items qualified for pull-out.
• Attests to annual physical inventory at project site warehouses and WDAI facilities.
• Receives and maintains records of documents including approved withdrawal slips, Materials Receiving Reports, and vendor delivery receipts.
• Checks received documents to ensure delivery details match the corresponding receiving forms.
• Prepares document transmittals to Accounting Assistants – AP, Disbursement Supervisor, and M&E Audit Supervisor for processing of payables.
• Records Asset Transfer Request Slip per site and records asset maintenance entries for Tools and Equipment based on approved Purchase Order.
