Job summary

Pickup Coffee in Manila is seeking an RS Specialist - Operating Systems to oversee the design, implementation, and continuous improvement of management systems across our operations. You will ensure alignment with ISO standards, HACCP, and brand quality while coordinating audits and training across multiple locations.

In this role you will monitor system performance, prepare detailed reports, and drive corrective actions.

Qualifications

• Bachelor’s degree in Food Technology, Industrial Engineering, Business Administration, or a related field.
• At least 2-3 years of experience in management systems implementation, preferably in food service or retail industries.
• Certification in ISO standards or internal auditing is an advantage.
• Understanding of food safety standards (HACCP, GMP) is an advantage.
• Knowledge of Lean Six Sigma or continuous improvement methodologies is an advantage.
• Proficiency in MS Office and familiarity with documentation and reporting tools.

Responsibilities

• Assist in developing, implementing, and maintaining management systems across all operations.
• Update policies and procedures to reflect regulatory changes or process improvements.
• Collaborate with various departments to ensure system integration and alignment.
• Monitor compliance with ISO standards, food safety, and other relevant regulations.
• Support internal and external audits by preparing required documentation and facilitating inspections.
• Address non-conformities and implement corrective actions to meet compliance requirements.
• Track key performance indicators related to management systems and operational efficiency.
• Prepare and present detailed reports on compliance, system performance, and improvement areas.
• Analyze data to identify trends and propose solutions for enhancing system effectiveness.
• Conduct training sessions on management systems, policies, and standards for all relevant staff.
• Develop materials to enhance employee understanding and engagement with compliance requirements.
• Act as a point of contact for system-related queries from employees.
• Maintain organized records of audits, compliance reports, and certifications.
• Coordinate audit schedules, training sessions, and system updates with relevant teams.
• Manage correspondence with external auditors, regulatory bodies, and vendors related to management systems.
• Accomplish tasks as instructed by the immediate supervisor.
• Ensure 100% of management systems are updated within the required timelines.
