Scandi Club is a 41-unit residential community located in Boracay, Philippines. We are seeking an experienced, highly organized, and hands-on Property Manager / Building Operations Manager to oversee the daily operations, maintenance, safety, compliance, and long-term operational health of the property.
This position serves as the operational leader of the community and is responsible for ensuring that the property remains safe, clean, well-maintained, financially responsible, and professionally managed. The Property Manager will oversee maintenance personnel, housekeeping staff, contractors, vendors, and operational service providers while ensuring that all building systems, infrastructure, and common areas are maintained to a high standard.
The successful candidate will create structure, accountability, visibility, and discipline across all operational activities while serving as the primary liaison between homeowners, staff, vendors, contractors, and HOA leadership.
The Property Manager will play a key role in long-term planning, preventive maintenance, regulatory compliance, issue resolution, project execution, risk management, and homeowner communication.
To ensure Scandi Club operates as a safe, reliable, professionally managed residential community through strong leadership, preventive maintenance, operational excellence, regulatory compliance, and transparent communication.
Oversee all day-to-day operations of the property and common areas.
Ensure the property remains safe, clean, organized, functional, and visually appealing.
Conduct regular inspections of all common areas, building systems, infrastructure, and facilities.
Establish operational standards and service expectations for the community.
Serve as the primary operational point of contact for homeowners.
Respond to homeowner concerns and ensure issues are addressed promptly and professionally.
Identify opportunities to improve service quality, operational efficiency, and resident satisfaction.
Directly supervise maintenance, housekeeping, security, and support personnel.
Establish clear job responsibilities, daily priorities, and performance expectations.
Conduct regular staff meetings and work planning sessions.
Monitor employee productivity, attendance, work quality, and professionalism.
Coach, mentor, and develop team members.
Create a culture of accountability, teamwork, customer service, and continuous improvement.
Ensure adequate staffing coverage and resource allocation across all property functions.
Develop and maintain a comprehensive preventive maintenance program for all building systems and common areas.
Create annual, quarterly, monthly, and weekly maintenance schedules.
Maintain complete maintenance records and service histories.
Ensure maintenance activities are performed consistently and documented properly.
Monitor the condition and life cycle of major building assets and infrastructure.
Proactively identify potential failures and implement corrective actions before disruptions occur.

Coordinate emergency preparedness activities and safety drills where appropriate.
Ensure corrective actions are implemented for identified safety concerns.
Track and report safety incidents, near misses, and operational risks.
Maintain awareness of applicable building, safety, environmental, and operational requirements.
Coordinate inspections, certifications, permits, and compliance-related activities.
Track regulatory obligations and ensure deadlines are met.
Maintain operational documentation and supporting records.
Work with government agencies, inspectors, engineers, consultants, and service providers as required.
Support projects involving permits, inspections, certifications, and operational approvals.
Ensure the property remains compliant with applicable regulations and community policies.
Establish and maintain a formal issue tracking and service request management system.
Ensure all maintenance requests, homeowner concerns, and operational issues are documented and tracked.
Prioritize issues based on safety, urgency, operational impact, and homeowner experience.
Assign work, monitor progress, and verify resolution.
Track recurring issues and identify root causes.
Provide visibility into issue status and resolution timelines.
The issue management process should include:

Source, evaluate, negotiate, and manage vendors and service providers.
Coordinate maintenance contracts and repair activities.

Verify contractor performance prior to invoice approval.
Maintain vendor records, contracts, and service histories.
Plan and coordinate building improvement projects and infrastructure initiatives.
Develop project schedules, budgets, and status reporting.
Track project risks, dependencies, and milestones.
Coordinate contractors, engineers, consultants, and stakeholders.
Provide regular project updates to homeowners and HOA leadership.
Ensure projects are completed on time, within budget, and to expected quality standards.
Work closely with the Accounting & Financial Operations Specialist to:
Develop annual operating budgets.
Forecast maintenance and infrastructure expenditures.
Prioritize repairs and capital improvements.
Evaluate vendor proposals and service agreements.
Plan future maintenance and replacement activities.
Ensure maintenance activities are aligned with available funding.
Support responsible stewardship of homeowner funds.
Serve as the operational voice of the community by providing regular, transparent, and professional updates.
Prepare monthly operational reports covering:
Open issues and work orders
Completed maintenance activities
Preventive maintenance completion status
Safety observations and concerns
Vendor performance
Project status updates
Compliance and inspection activities
Operational risks
Planned activities for the upcoming month
Decisions requiring homeowner or HOA input
Attend homeowner meetings and present operational updates, recommendations, and status reports.
Minimum 5 years of experience in property management, facilities management, building operations, hospitality operations, resort management, condominium administration, or a related field.
Experience supervising maintenance, housekeeping, security, and contractor teams.
Strong project management and organizational skills.
Experience managing vendors, service contracts, and maintenance programs.
Strong written and verbal communication skills.
Ability to manage multiple priorities and work independently.
Proficiency with Microsoft Excel, Google Sheets, reporting tools, and basic project tracking systems.
Experience managing residential communities, condominiums, hotels, resorts, or mixed-use properties.
Experience implementing preventive maintenance programs.
Familiarity with facilities management best practices.
Experience working with homeowner associations or residential communities.
Experience coordinating inspections, permits, and regulatory activities.
Familiarity with Boracay, Malay, or Philippine local government processes.
Strong understanding of building systems and infrastructure operations.
