Job summary

Qualifications

  • Familiarity with donor financial reporting requirements is preferred.

Job description

The Grants Accountant ensures accurate, timely, and compliant financial management of grants throughout their lifecycle. The position is responsible for maintaining reliable grant financial records, monitoring grant expenditures against approved budgets and funding agreements, supporting accurate and timely financial reporting, and ensuring compliance with donor, regulatory, and organizational requirements. The role provides financial information and support to program and management teams to promote effective stewardship of grant resources and successful delivery of funded programs.

Main Duties and Responsibilities
Grant Financial Management
  • Maintain accurate financial records for all grant-funded projects.
  • Monitor grant budgets and expenditures to ensure alignment with approved donor budgets.
  • Review and verify grant-related expenses for accuracy, completeness, and compliance.
  • Track grant balances, commitments, and fund utilization.
  • Assist in grant budget preparation, revisions, and forecasting.
  • Prepare timely and accurate financial reports required by donors (external client) and SOS Children’s Villages Pilipinas (internal client).
  • Reconcile grant accounts and check and reconcile any discrepancies.
  • Generate periodic financial analyses for project managers and senior management.
  • Ensure that all grant transactions are properly recorded in the accounting system.
Grant Compliance and Internal Controls
  • Ensure compliance of grant financial transactions with donor agreements, organizational policies, and applicable financial regulations.
  • Review supporting documentation to verify the eligibility, accuracy, completeness, and proper authorization of grant-related expenses.
  • Monitor compliance with grant-specific financial requirements and reporting conditions and promptly elevate identified exceptions or potential compliance risks to the appropriate supervisor.
  • Support and coordinate internal and external grant audits by preparing and providing required financial records and supporting documentation.

Monitor the effectiveness of internal controls related to grant financial management and recommend improvements to the Grants Management Officer.

Budget Monitoring and Analysis
  • Analyze expenditures against approved budgets.
  • Identify and explain budget variances.
  • Provide recommendations to project teams.
  • Prepare forecasts and cash flow projections.
Coordination and Support
  • Collaborate with project management teams and relevant National Office and program-location functions to support effective grant planning, implementation, financial monitoring, reporting, and compliance.
Knowledge Management
  • Document and share lessons learned and good practices to support continuous improvement of grants financial management.
  • Integrate project learnings into future strategies to strengthen grants management in MA Philippines.
  • Support capacity building on financial compliance, reporting, and grant implementation.
Other Duties
  • Perform other related duties and responsibilities as may be assigned by the Grants Management Officer.
Qualifications:
Education
  • Bachelor's degree in accountancy
  • A Certified Public Accountant (CPA) is preferred but not required.
  • A master's degree or relevant professional certification in grants management, project management, or resource mobilization is an advantage but not required.
Experience
  • At least 2-3 years of accounting experience, preferably in grant accounting, project management, or NGO finance.
  • Experience working with donor-funded projects and international development organizations is an advantage.
  • Familiarity with donor financial reporting requirements is preferred.
Skills and Competencies
