Job Summary:
We're eager to find a highly capable Executive Assistant to help organize, grow, and monetize a fast-moving portfolio of creative and business ventures. The role extends far past calendar management: you'll uncover revenue opportunities, run outreach campaigns, lead research projects, and keep several initiatives advancing on your own. Our ideal hire is a critical thinker with leadership experience, sharp business instincts, and the confidence to make sound calls without waiting to be told.
Key Responsibilities:
- Handle calendars, scheduling, reminders, email organization, and document management across multiple ventures
- Find partnership, sponsorship, and booking opportunities, then lead outreach and follow-up to lock them in
- Set up and maintain contact databases, opportunity trackers, and pipeline records
- Arrange bookings and shoots, organize deliverables, and follow payments through to receipt
- Run market, vendor, competitor, and pricing research to support the launch of a new product-based business
- Look into business setup requirements, startup costs, and vendor comparisons, and present clear recommendations
- Create and maintain a goal framework that breaks annual objectives into quarterly, monthly, biweekly, and weekly actions
- Put together a weekly performance review covering opportunities created, revenue influenced, costs avoided, and time saved
- Use data and analytics to judge what's working, flag what isn't, and suggest strategy adjustments
- Reset schedules and priorities on a fixed cadence so nothing stalls or gets dropped
- Sort incoming work by urgency, revenue impact, and required involvement, escalating only what truly needs a decision
Mandatory Skills:
- Proven background as an executive assistant, operations coordinator, or business support professional
- Prior leadership experience and comfort owning projects from start to finish
- Strong research skills and the ability to source companies, contacts, and market data independently
- Experience running cold or warm email outreach, including follow-up sequences and response tracking
- Confident with spreadsheets, trackers, and basic data analysis for measuring performance
- Excellent written English and professional communication with outside brands and partners
- Strong prioritization and project management skills across several parallel workstreams
- Detail-conscious, dependable, and able to self-direct with minimal supervision
- Good judgment to make sensible decisions when the manager is unavailable
Preferred Skills:
- Experience supporting a founder, creator, or personal brand
- Background in the beauty, fashion, or creative industries
- Working knowledge of influencer partnerships, brand collaborations, or talent booking coordination
- Experience supporting an e-commerce or product business launch, including supplier sourcing
- Working knowledge of project management and CRM tools such as Notion, Asana, Trello, Airtable, or similar
- Ability to keep several projects moving at once and switch priorities without losing momentum
- Comfort setting up simple systems, trackers, and processes where none exist yet
Why Join Us:
This is an uncommon opportunity to partner closely with an ambitious entrepreneur across several growing ventures, with a real say in how the business is structured and where it goes next. You'll be trusted with true ownership instead of a narrow task list, and your impact will be clear and measurable within the first month. If you enjoy variety, autonomy, and building something from scratch, you'll flourish here.
