Responsibilities

  • Under general supervision, performs secretarial, clerical functions and does other related work.
  • Organizes the day-to-day operation of the office to ensure high quality administrative support.
  • Manage the schedule to enhance effective time management and coordinates activities, prioritizes appointments and reschedule when necessary.
  • Manages, prioritizes, screens and monitors the office's correspondence, including emails, calls, post and fax to ensure they are dealt with appropriately.
  • Records and oversees all incoming and outgoing communications.
  • Encodes confidential correspondences, reports and other documents.
  • Maintains and updates official files of the Commission.
  • Organize all schedules and reminders of the assigned division and prepare meeting folders.
  • Prepare minutes of admin staff meetings and other meetings as assigned.
  • Coordinates with other Offices in terms of meetings.
  • Conducts initial interview and screen persons seeking assistance from the Commission.
  • Perform other tasks as may be assigned from time to time.
  • Job Outputs: Improved data tracking system of the office for both incoming and outgoing; Updated list of office activities/meetings; Files confidential and regular correspondences; Other reports as may be required.
