Job summary

At Ubiquity in the Philippines, we seek an Order Management & Billing Specialist who will own the end-to-end processing of Sales Orders and Professional Services Projects using NetSuite and Salesforce. You will review agreements to set up proper orders and projects, ensuring consistency with company policy and accurate revenue recognition.

Join a collaborative team to resolve inquiries, support audits, and drive KPI reporting while maintaining SOX controls.

Qualifications

• Bachelor's degree or equivalent practical experience.
• 2 years of order management, billing, and/or revenue operations experience.
• Demonstrated experience with NetSuite or other ERP systems (MS D365, Sage, SAP, etc).
• Demonstrated experience with Salesforce.
• 2+ years of Excel experience including Vlookups, pivot tables and formulas.

Responsibilities

• Set up and process Sales Orders and Professional Services Projects using NetSuite and Salesforce.
• Review agreements to set up Sales Orders, Subscriptions and Projects per policy.
• Identify non-standard terms and coordinate with OM team for proper revenue recognition.
• Resolve inquiries from Sales Orders and projects and address root causes.
• Consult with Sales, Deals Desk and Collections for accurate billing.
• Provide input to system and process improvements.
• Support SOX controls and participate in internal/external audit requests.
• Maintain individual dashboard reporting in Salesforce and NetSuite.
• Contribute to KPI reporting for the Order Management Team.

What You’ll Do:

• Responsible for all aspects of setting up and processing Sales Order and Professional Services Projects, using NetSuite and Salesforce.
• Review Sales related agreements to set up the proper Sales Orders, Subscriptions and Projects in Suite Billing consistently with company policies.
• Identify any non-standard contract term and collaborate with the OM team lead, manager and Revenue Accounting team to ensure appropriate revenue recognition.
• Resolve and track issues / inquiries from Sales Order and professional services projects as they arise and address root cause problems.
• Consult with the Sales, Deals Desk and Collections teams for accurate and timely customer billing.
• Provide input for on-going development and improvement on systems and operation processes.
• Assist Managers in performing internal control procedures to ensure SOX controls.
• Participates and supports yearly audit requests as applicable in providing the requested support for any selected transactions.
• Assist the external audit team regarding all quarterly and annual audit requirements
• Responsible for their individual dashboard management in Salesforce and NetSuite.
• Reporting requirements as needed helping drive Key Performance Indicators across the Order Management Team.
• Responsible for monthly and quarterly KPI’s as defined by the OM Manager
• Customer experience metrics and responsibilities including resolving inquiries into transactions, special requests around the transactions and resolving any disputes.

Minimum Qualifications

• Bachelor’s degree or equivalent practical experience
• 2 years of order management, billing, and/or revenue operations experience
• Demonstrated experience with NetSuite or other equivalent ERP Systems (Microsoft D365, Sage, SAP, etc).
• Demonstrated experience with Salesforce
• 2+ years of Excel experience including experience with Vlookups, pivot tables and formulas

• Ability to work Eastern or Central Timezone Business Hours
• Software as a Service (SaaS) experience
• M&A Integration experience
• NetSuite Billing experience
• Revenue Accounting knowledge or experience
• MS Office software, including Excel, Word, and PowerPoint
• Proven ability to plan, prioritize, work autonomously and be adaptable to changing priorities in a fast-paced environment
• Demonstrated leadership ability with a growth mindset
• Strong oral and written communication skills and customer service skills
