Job summary

MicroSourcing is seeking an Operations Supervisor to lead a high‑performing Admin Officer team in Libis, Quezon City. You will mentor staff, drive KPI/SLAs, and monitor process quality across orders, account creation, and master data management.

Ideal candidates bring 3+ years in supervision, strong analytical and communication skills, and proficiency in Excel and ERP systems. On‑site work with growth opportunities and a supportive culture.

Qualifications

• 3+ years of supervisory experience in admin or operations management.
• Strong leadership and coaching abilities to manage priorities and outcomes.
• Excellent written and verbal communication; able to handle escalations professionally.
• Advanced Excel skills including VLOOKUP, pivot tables, and data analysis.
• Experience collaborating with Sales, Finance, Operations, and AR to resolve complex issues.

Responsibilities

Your Role

As an Operations Supervisor, you will:

• Lead and manage a high-performing team of Admin Officers, mentoring them on process best practices and ensuring consistent achievement of KPIs and SLAs.
• Manage the daily review and conduct Root Cause Analysis (RCA) of transaction errors, providing strategic reports and proactive improvement plans to prevent recurrence.
• Oversee the timely and accurate processing of incoming orders, new customer account creation in the ERP system, and master data updates.
• Collaborate with internal stakeholders (Sales, Finance, Operations, AR) and the Admin Support Manager to resolve complex customer issues and drive continuous service improvement.
• Champion and facilitate workplace safety guidelines, risk assessments, and the Safety Management System, ensuring all team members operate within safety rules.
  
  

What You Need

Non-negotiables

• Minimum 3 years of supervisory experience in administrative or operational management, ideally in a fast-paced environment.
• Demonstrated ability to lead, mentor, and coach teams while successfully managing competing priorities and delivering key outcomes.
• Strong analytical, investigative, and problem-solving skills with a high level of accuracy and attention to detail.
• Excellent written and verbal communication skills, with the ability to handle escalations and explain complex information clearly and professionally.
• Advanced proficiency in Microsoft Excel (VLOOKUP, pivot tables, data analysis).
  
  

Preferred Skills/expertise

• Prior experience in credit, claims, or billing-related functions (utilities, gas, or logistics sector preferred).
• Proficient in ERP and billing systems (e.g., Pronto, SAP, Oracle).
• Experience conducting Root Cause Analysis (RCA) and creating proactive process improvement plans.
• Familiarity with participating in or facilitating workplace safety management systems and risk assessments.
• Experience collaborating across multiple internal departments (Sales, AR, Operations, Finance) to meet strict service level agreements.
