Job summary

Care Center Clinic in the Philippines is seeking an Operations Supervisor to supervise assigned operational areas, monitor performance, and coordinate with department heads and support functions. You will focus on governance, issue resolution, and driving continuous improvement, while ensuring accountability and timely actions across teams.

The role requires 2-3 years in operations, a bachelor's degree, and strong analytical, communication, and Excel skills to manage multi-site healthcare

Qualifications

  • Bachelor's degree in Business Administration, Operations Management, Industrial Engineering, Management, or a related field.
  • At least 2-3 years of relevant experience in operations, business operations, process improvement, program coordination, or a related field.
  • Demonstrated experience supervising people, coordinating operational activities, and managing operational issues or priorities.
  • Experience coordinating with multiple departments and stakeholders.
  • Strong understanding of operational performance management, issue resolution, processes, and accountability.
  • Experience in healthcare, pharmacy, retail, service, or similarly complex operations is an advantage.

Responsibilities

  • Supervise the operational performance, priorities, and risks of assigned areas of responsibility.
  • Maintain visibility over key operational issues, dependencies, commitments, and required actions.
  • Monitor operational performance, service levels, key indicators, and recurring issues requiring management attention.
  • Identify operational bottlenecks, process gaps, accountability concerns, and risks affecting business performance.
  • Coordinate operational requirements involving different business units and support functions.
  • Facilitate the resolution of operational issues by establishing clear ownership, priorities, timelines, follow-up, and escalation.
  • Follow up on unresolved operational issues, unclear accountability, and recurring concerns requiring intervention.
  • Monitor process implementation and ensure identified gaps, control issues, and operational deviations are addressed.
  • Review relevant operational reports, analytics, audit findings, compliance requirements, and process-monitoring outputs.
  • Ensure significant operational matters are appropriately assigned, actively managed, and resolved within established timelines.
  • Support operational improvement, standardization, and continuous-improvement initiatives within assigned areas.
  • Promote accountability and effective coordination among departments while respecting the functional ownership of each team.
  • Provide direction and guidance to assigned Operations personnel.
  • Coordinate with governance, support, and other operational teams as required.
  • Support new initiatives, expansions, transitions, and projects requiring Operations involvement.
  • Coordinate operational priorities and required management actions across assigned areas.
  • Foster effective collaboration among operational teams, department heads, and support functions.
  • Prepare and present operational updates, risks, recommendations, and matters requiring management attention.
  • Provide management with clear visibility on operational priorities, risks, issues, and required actions.
  • Escalate material, recurring, or unresolved operational matters to the Operations Manager.

Job description

Job Purpose

The Operations Supervisor is responsible for supervising assigned operational areas and ensuring effective coordination, performance monitoring, accountability, and resolution of operational matters.

The role works closely with department heads, operational teams, and support functions to monitor business performance, identify operational risks and priorities, coordinate operational requirements, and ensure that issues are properly addressed and escalated when necessary.

The Operations Supervisor also supports operational governance by monitoring performance, process implementation, and operational outputs and ensuring appropriate actions are taken by accountable teams.

Key Responsibilities
A. Operations Management & Performance
  • Supervise the operational performance, priorities, and risks of assigned areas of responsibility.
  • Maintain visibility over key operational issues, dependencies, commitments, and required actions.
  • Monitor operational performance, service levels, key indicators, and recurring issues requiring management attention.
  • Identify operational bottlenecks, process gaps, accountability concerns, and risks affecting business performance.
B. Operational Coordination & Issue Resolution
  • Coordinate operational requirements involving different business units and support functions.
  • Facilitate the resolution of operational issues by establishing clear ownership, priorities, timelines, follow-up, and escalation.
  • Follow up on unresolved operational issues, unclear accountability, and recurring concerns requiring intervention.

C. Governance, Controls & Accountability
  • Review relevant operational reports, analytics, audit findings, compliance requirements, and process-monitoring outputs.
  • Ensure significant operational matters are appropriately assigned, actively managed, and resolved within established timelines.
  • Support operational improvement, standardization, and continuous-improvement initiatives within assigned areas.
  • Promote accountability and effective coordination among departments while respecting the functional ownership of each team.
D. Team Leadership & Operational Support
  • Provide direction and guidance to assigned Operations personnel.
  • Coordinate with governance, support, and other operational teams as required.
  • Support new initiatives, expansions, transitions, and projects requiring Operations involvement.
  • Coordinate operational priorities and required management actions across assigned areas.

E. Reporting & Escalation
  • Prepare and present operational updates, risks, recommendations, and matters requiring management attention.
  • Provide management with clear visibility on operational priorities, risks, issues, and required actions.
  • Escalate material, recurring, or unresolved operational matters to the Operations Manager.
  • And any duties that may be assigned from time to time.
Authority & Accountability

The Operations Supervisor is authorized to coordinate operational matters, request relevant information and supporting documents, establish follow-up requirements, raise operational concerns, and elevate matters within the assigned Operations scope.

The role may provide direction on operational priorities, coordination, process follow-through, and required actions while preserving the functional ownership and decision-making authority of accountable departments.

The Operations Supervisor is accountable for ensuring that significant operational matters within the assigned area are visible, appropriately owned, actively managed, and escalated when necessary.

  • Strong written and verbal communication skills, with the ability to work effectively with operational teams and management.
  • Proficient in Microsoft Excel, PowerPoint, and operational reporting tools.
  • Demonstrates strong ownership, accountability, sound judgment, and professional assertiveness.
  • Able to raise concerns and raise issues appropriately when required.
  • Able to manage multiple priorities and operate effectively in a fast-paced, cross-functional environment.
