The Operations Manager is responsible for overseeing the school's daily operational activities to ensure efficient, safe, and compliant campus operations. The role manages administrative support services, facilities, security, housekeeping, maintenance, transportation (if applicable), health and safety, procurement coordination, and operational projects. The Operations Manager works closely with academic and administrative departments to ensure that all operational requirements support the school's mission and strategic objectives.
Oversee the day-to-day operations of the school campus.
Ensure smooth coordination among administrative and support departments.
Develop, implement, and continuously improve operational policies and procedures.
Monitor operational efficiency and recommend process improvements.
Ensure uninterrupted delivery of operational support services.
Supervise maintenance of classrooms, offices, laboratories, libraries, and common areas.
Ensure all school facilities are safe, functional, and well-maintained.
Coordinate preventive and corrective maintenance schedules.
Monitor utilities, equipment, and infrastructure requirements.
Recommend facility improvements and capital projects.
Oversee campus security personnel and security protocols.
Ensure compliance with occupational safety and health regulations.
Develop and implement emergency preparedness and disaster response plans.
Conduct regular safety inspections and risk assessments.
Investigate operational incidents and recommend corrective actions.
Coordinate procurement requests with Finance and Purchasing.
Monitor inventory of office supplies, equipment, and operational materials.
Ensure proper asset tagging, inventory control, and disposal procedures.
Evaluate suppliers and service providers.
Manage contracts and performance of outsourced service providers.
Coordinate with contractors for maintenance, repairs, and operational projects.
Ensure vendors comply with school policies and service agreements.
Prepare and manage the annual operations budget.
Monitor operational expenses.
Identify cost-saving initiatives without compromising service quality.
Submit budget utilization and operational reports.
Supervise non-academic operational staff.
Coordinate operational support for school events, enrollment, graduations, seminars, and institutional activities.
Ensure efficient scheduling and utilization of school facilities.
Ensure compliance with applicable government regulations and accreditation requirements.
Coordinate with government agencies during inspections.
Maintain operational documentation and records.
Lead, coach, and evaluate operational personnel.
Conduct regular staff meetings and performance reviews.
Identify training and development needs.
Foster teamwork, accountability, and continuous improvement.
Prepare monthly operational reports.
Present operational updates, risks, and recommendations to Management.
Monitor key operational performance indicators.
Bachelor's Degree in Business Administration, Operations Management, Industrial Engineering, Facility Management, Public Administration, or a related field.
Master's Degree is an advantage.
At least five (5) years of progressive experience in operations or administrative management.
Minimum of three (3) years in a supervisory or managerial role.
Experience in an educational institution is highly preferred.

The Operations Manager is authorized to:
