Position Summary
We are seeking a highly accurate, organized, and self-directed legal professional to prepare fiduciary court accountings and complete filing packages for attorney and senior paralegal review. The role involves reviewing case files and financial records, preparing and reconciling accounting schedules, drafting legal documents using firm templates, assembling supporting exhibits, and delivering complete, filing-ready work product.
Key Responsibilities
Fiduciary Accounting & Financial Review
- Review bank statements, brokerage records, escrow documents, receipts, prior accountings, inventories, claims, and other case records.
- Prepare and maintain accounting schedules for:
- Receipts and income
- Disbursements
- Gains and losses
- Distributions
- Changes in form of assets
- Property remaining on hand
- Reconcile all accounts, schedules, and petition totals with no unexplained variances.
- Identify missing statements, duplicate transactions, unexplained deposits or withdrawals, stale checks, incorrect balances, and other discrepancies.
Legal Drafting
- Draft accounting petitions, reports, and related pleadings using firm-approved templates.
- Accurately document:
- Fiduciary appointment and authority
- Accounting periods
- Assets and transactions
- Claims and distributions
- Attorney and fiduciary fees
- Reimbursements and reserves
- Property sales
- Proposed final distributions and discharge
- Clearly flag missing information or issues requiring attorney review rather than making assumptions.
Filing Package Preparation
- Prepare and assemble:
- Proposed orders
- Notices of hearing
- Declarations and verifications
- Proofs of service
- Fee and reimbursement documentation
- Accounting schedules
- Supporting exhibits
- Ensure names, dates, figures, captions, attachments, and requested relief are consistent throughout the filing.
- Deliver organized, filing-ready Word and PDF packages with a concise list of unresolved items or reviewer decisions.
Matter & Workflow Management
- Review incoming matters and identify deadlines, missing records, accounting periods, and outstanding issues.
- Maintain organized electronic files using firm naming, folder, template, and version-control standards.
- Provide concise status updates and raise significant issues early.
- Track assignments and communicate promptly when missing information may affect deadlines.
Required Qualifications
- 3+ years of relevant professional experience in legal support, paralegal work, fiduciary accounting, bookkeeping, auditing, or another document-intensive role.
- Experience preparing or reconciling financial schedules using bank statements and source documents.
- Experience drafting or assembling formal legal or regulated professional documents.
- Advanced Microsoft Excel skills, including:
- Formulas
- Sorting and filtering
- Date handling
- Reconciliation
- Error checking
- Strong Microsoft Word and Adobe Acrobat/PDF skills.
- Excellent written English and professional legal/financial writing ability.
- Exceptional attention to detail, numerical accuracy, organization, and follow-through.
- Ability to work independently while recognizing when attorney or senior-staff guidance is required.
- Reliable high-speed internet and a secure, professional remote work environment.
- Ability to provide meaningful overlap with the firm's Pacific Time workday.
Strongly Preferred Experience
- U.S. probate, trust, estate, guardianship, conservatorship, elder-law, or fiduciary administration matters.
- Fiduciary, estate, trust, or court accounting preparation.
- California probate pleadings, Judicial Council forms, or court filing procedures.
- Experience supporting probate attorneys, trust-and-estates attorneys, professional fiduciaries, Public Administrators, accountants, or auditors.
- Education in law, legal studies, accounting, finance, business, audit, or a related field.
- Familiarity with legal case-management systems, cloud document platforms, remote desktops, and time-entry systems.
Work Quality Standards
- Produce accounting schedules that balance exactly to supporting records.
- Never invent or assume missing facts.
- Follow firm templates, formulas, naming conventions, and document procedures precisely.
- Identify unusual transactions, inconsistencies, and issues requiring attorney review.
- Maintain clear traceability between figures in the accounting and their source documents.
- Submit complete, internally consistent, filing-ready work requiring minimal cleanup.
Confidentiality & Security
- M maintain strict attorney-client, work-product, and fiduciary financial confidentiality.
- Use only firm-approved devices, accounts, software, storage, and communication systems.
- Do not store or transmit client information through personal or unauthorized systems.
- Do not use unauthorized AI tools, public document-processing platforms, personal cloud storage, or personal email for client materials.
- Immediately report suspected security, privacy, phishing, access, or data-loss incidents.
Work Schedule (Dayshift)
- 2:00 PM - 11:00 PM Pacific time
- (Mon-Friday 5:00 a.m. to 2:00 p.m. Philippine Time, (Tuesday - Saturday)
Work Setup (Onsite)
- Open for Quezon City, Alabang, Pampanga, and Cebu depending on candidate's preference
- Equipment will be provided by the company
- Hired staff is required to have a stable and reliable internet connection with at least 20MBPS for both download AND upload speed.
