Job summary

Flexteem LLC is hiring a Part-time Medical Virtual Assistant to support a U.S. outpatient healthcare practice. The role is remote with hours around 24–30 per week, primarily on Mondays, Wednesdays, and Fridays during U.S.

Eastern Time business hours. You will work with athenaOne and PracticeQ/IntakeQ to handle patient calls, scheduling, and documentation. Ideal candidates have HIPAA familiarity, excellent English, and prior authorization workflow experience, with a quiet, reliable workspace and

• Hands-on experience using athenaOne EMR and PracticeQ/IntakeQ.
• Experience supporting a U.S. medical practice, including medical reception and prior authorization workflows.
• Excellent spoken and written English, professional telephone communication, and strong attention to detail.

Responsibilities

• Answer patient calls and respond to inquiries using approved information.
• Schedule appointments, coordinate new-patient intake, and follow up on incomplete paperwork.
• Send appointment reminders and handle routine patient follow-up.
• Support medication prior authorizations, pharmacy communications, and medication delivery coordination under the practice’s direction.
• Manage administrative messages, documentation requests, and accurate records.

Pay: USD $4–$7 per hour, depending on relevant experience

Hours: Approximately 24–30 hours per week initially

Schedule: Mondays, Wednesdays, and Fridays during U.S. Eastern Time business hours. Exact working hours will be agreed before starting.

Flexteem is seeking an experienced Medical Virtual Assistant to support a U.S. outpatient healthcare practice. We are particularly interested in candidates with hands-on experience using both athenaOne EMR and PracticeQ/IntakeQ.

Responsibilities include:

• Answering patient calls and responding to inquiries using practice-approved information.
• Scheduling appointments, coordinating new-patient intake, and following up on incomplete paperwork.
• Sending appointment reminders and handling routine patient follow-up.
• Supporting medication prior authorizations, pharmacy communications, and medication delivery coordination under the practice’s direction.
• Managing administrative messages, documentation requests, and accurate records within the practice’s systems.

What we are looking for:

• Demonstrated experience using athenaOne and PracticeQ/IntakeQ. Please clearly describe your experience with each system.
• Previous experience supporting a U.S. medical practice, including medical reception and prior authorization workflows.
• Excellent spoken and written English, professional telephone communication, and strong attention to detail.
• Availability on Mondays, Wednesdays, and Fridays during the agreed U.S. Eastern Time hours.
• Familiarity with HIPAA requirements and secure handling of patient information.
• Reliable internet, a suitable computer, and a quiet workspace.
• Experience in mental health, behavioral health, or addiction medicine is strongly preferred. Familiarity with 42 CFR Part 2 is an advantage.

There may be an opportunity to increase hours as the practice’s needs grow.
