Job summary

Amex GBT is seeking a Sourcing Specialist to curate flawless properties and stellar events for clients. You will manage venue sourcing, RFPs, budgeting, and on-site coordination with a focus on hospitality and exceptional service.

You’ll build trusted relationships with clients and suppliers, negotiate the best terms, and coordinate global site inspections while maintaining accuracy and timelines in a fast-paced travel environment.

Qualifications

• Venue sourcing and meeting planning experience in the last 3–5 years.
• Excellent communication skills to articulate vision and provide great service.
• Willingness to travel internationally (up to a significant percentage).
• Proficient with Cvent and leverage technology to optimize sourcing.

Responsibilities

• Cultivate a strong working relationship with the client by communicating program details and providing elevated service.
• Meet with clients to discuss event vision and hotel/venue wish list.
• Expertly RFP properties to match client needs.
• Negotiate favorable terms to secure the best deal for the client.
• Be the primary contact for hotel and client throughout contracting process; ensure complete contracts.
• Organize logistics with precision and maintain control of details.
• Build relationships with clients, suppliers, and teammates; expand the network.
• Create innovative solutions and anticipate changes for events.
• Coordinate and attend global site inspections as needed.
• Act as executive producer for event specifics and requirements.
• Develop and manage budgets; audit billing and report expenses to clients.
• Post event reconciliation and evaluation.

What You Will Do:

• Cultivate a strong working relationship with the client by effectively communicating details of the program, anticipating client’s needs, and providing an elevated level of customer service.
• Meet with clients to discuss the vision of their event and hotel/venue wish list.
• Expertly RFP the perfect properties for your client.
• Proficient in negotiations to acquire the absolute best deal for the client.
• Remain the point person for the hotel and client throughout the contracting process, ensuring the contract is completed with a cherry on top.
• Possess organizational skills to orchestrate logistics with finesse and have a curiosity about keeping every detail under control.
• Skilled at building relationships. Cultivate positive relationships with clients, suppliers, and teammates, crafting a network of invaluable connections.
• Creative, proactively anticipate changes, and build innovative solutions.
• Coordinate and attend global site inspections when needed.
• Act as the executive producer of all event specifics and requirements.
• Develop and handle budgets by auditing all program related billing for accuracy, tracking, and reporting expenses to clients and communicating changes on a consistent basis.
• Post event reconciliation and evaluation is the final mission on each program.

What We’re Looking For:

• Venue sourcing & meeting planning experience over the last 3-5 years.
• Incredible communication skills to articulate vision, inspire, and empower.
• Highly motivated at meeting timeline expectations.
• Self-starter, love to laugh, and handle the journey.
• Proficient in Microsoft Office Suite.
• Travel is your passion and you are excited to head to destinations worldwide (up to x%).
• Vase experience with Cvent and are not afraid of technology!
