Job summary

Advanced Energy is seeking a Logistics Specialist in the Philippines to manage PEZA and Customs documentation for export shipments. You will screen data, ensure regulatory compliance, and coordinate with planning, customer service, production, QA, freight forwarders, and accounting to ensure timely, compliant movement of goods.

The role requires a Bachelor’s degree in a related field and 1+ year in export logistics or trade compliance, with strong Excel and ERP skills.

Qualifications

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
  • At least 1 year of export logistics or international shipping experience.
  • Knowledge of PEZA, Bureau of Customs (BOC), ITC, Incoterms, and global trade requirements.
  • Proficient in Microsoft Office; Oracle or ERP experience is a plus.

Responsibilities

  • Review customer shipment plans and coordinate export shipments for on-time delivery and compliance with requirements.
  • Perform data screening and validation for direct-to-customer shipments per international trade rules.
  • Prepare export documentation: Commercial Invoices, Packing Lists, Gate Passes, GSP Certificates, and PEZA/Customs docs.
  • Support shipping activities by PLID scanning and ensuring shipment accuracy.
  • Coordinate bookings with freight forwarders based on availability and routing instructions.
  • Ensure timely pickup and complete ship confirmations in the system.
  • Coordinate with freight forwarders, customs brokers, trucking providers, and lines for shipment information.
  • Maintain accurate export shipment data in the Export System (Oracle).
  • Prepare and send shipping pre-alerts and notifications to customers and stakeholders.
  • Maintain ship records (electronic and hard copy) per retention policies.
  • Prepare logistics and finance reports, including monthly shipment summaries.
  • Monitor truck and container movements and coordinate with providers to meet delivery schedules.
  • Uphold company policies, safety standards, and security procedures.
  • Escalate export-related issues to Export Manager or Logistics Senior Manager.
  • Perform other duties as assigned by management.

Job Summary

The Logistics Specialist is responsible for preparing and processing all PEZA and Customs documentation required for export shipments, ensuring compliance with international trade regulations and requirements. Conducts data screening and verification to support accurate export processing. Coordinates closely with Planning, Customer Service, Production, Quality Assurance, Freight Forwarders, and accounting teams before and after shipment to ensure timely, efficient, and compliant movement of goods. Maintains effective communication with internal and external stakeholders to support smooth logistics operations and customer satisfaction.

Job Responsibilities
  • Review customer shipment plans and coordinate export shipments to ensure on-time delivery and compliance with customer requirements.
  • Perform data screening and validation for all direct-to-customer shipments in accordance with international trade and regulatory requirements.
  • Prepare and process export-related documentation, including Commercial Invoices, Packing Lists, Gate Passes, GSP Certificates, and other PEZA and Customs documents required for export transactions.
  • Support shipping and loading activities by conducting PLID scanning and ensuring shipment accuracy.
  • Coordinate shipment bookings with designated freight forwarders based on finished goods availability and customer routing instructions, providing necessary shipping documents for advance processing.
  • Ensure timely pickup of finished goods and complete required ship confirmation transactions within the system.
  • Coordinate with freight forwarders, customs brokers, trucking providers, and shipping lines to obtain shipment information and monitor delivery status.
  • Maintain accurate and timely updates of international shipment data in the Export System (Oracle).
  • Prepare and transmit shipping document pre-alerts and shipment notifications to customers and internal/external stakeholders.
  • Maintain complete and accurate export shipment records, both electronic and hard copy, in compliance with company document retention policies.
  • Prepare and update required logistics and finance reports, including monthly shipment summaries and other management reports.
  • Monitor truck and container movements and coordinate with trucking providers to ensure adherence to target delivery schedules.
  • Comply with and uphold company policies, procedures, housekeeping requirements, security protocols, and health and safety standards.
  • Escalate export-related issues, concerns, and risks to the Export Manager and/or Logistics Senior Manager in a timely manner.
  • Perform other duties and responsibilities as assigned by management.
Qualifications
  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field; equivalent work experience may be considered.
  • At least 1 year of experience in export logistics, international shipping, or trade compliance, preferably within a PEZA-registered manufacturing environment.
  • Working knowledge of PEZA regulations, Bureau of Customs (BOC) processes, export documentation, and international trade requirements.
  • Familiarity with International Trade Compliance (ITC), Incoterms, freight forwarding processes, and global shipping procedures.
  • Proficient in Microsoft Office applications (Excel, Word, and PowerPoint); experience with Oracle or other ERP systems is an advantage.
