The Inventory Assistant is responsible for supporting the accurate monitoring, verification, documentation, and reporting of inventory across assigned stations. The role ensures proper inventory recording, timely identification of variances, adherence to inventory control procedures, and accurate reporting to support operational efficiency and loss prevention.
Execute the assigned monthly inventory monitoring and audit schedule within established timelines.
Conduct regular station visits to verify actual inventory against system records, inventory reports, and supporting documents.
Perform petroleum inventory counts and verification to ensure accuracy and identify shortages, overages, and unexplained variances.
Validate inventory movements, including deliveries, transfers, sales, adjustments, and other related transactions.
Monitor proper receiving, storage, handling, and recording of petroleum and non-petroleum products.
Check inventory documentation and ensure that transactions are properly recorded and supported by complete and accurate documents.
Provide accurate and timely updates on inventory activities, observations, discrepancies, and critical findings.
Identify and document inventory variances, operational errors, control weaknesses, possible losses, and non-compliance with inventory procedures.
Investigate significant inventory discrepancies and coordinate with concerned station personnel for clarification and supporting documents.
Prepare and submit complete, accurate, and well-documented inventory reports within the prescribed timeline.
Ensure inventory findings are supported by sufficient, relevant, and verifiable evidence.
Coordinate with Station Managers, Operations, and other concerned departments regarding inventory findings and required corrective actions.
Monitor the implementation of corrective actions for identified inventory discrepancies when required.
Maintain confidentiality of inventory records, reports, and other company information.
Perform other inventory-related duties and responsibilities that may be assigned by management.
College graduate.
At least one (1) year of experience in inventory management, inventory audit, warehouse operations, field audit, operations, or a related function. Experience in the retail, petroleum, or FMCG industry is an advantage.
Knowledge of inventory control procedures, stock monitoring, reconciliation, and variance analysis.
Basic understanding of internal controls, documentation, and audit procedures.
Proficient in Microsoft Office applications, particularly Microsoft Excel and Word.
Strong analytical, investigative, and problem-solving skills with keen attention to detail.
Good communication and coordination skills.
Honest, trustworthy, organized, and able to work independently.
Willing to perform fieldwork and travel to assigned stations.
Must have an active Driver's License and own motorcycle.
