Qualifications

• 2–3 years of experience in events or project management.
• Strong project management, organization, planning, and time-management skills.
• Ability to manage multiple stakeholders, suppliers, workstreams, and deliverables simultaneously.
• Strong written and verbal communication, coordination, and negotiation skills.
• Comfortable working directly with clients, suppliers, internal teams, and management.
• Proficient in project trackers and documentation using tools such as Microsoft Excel or Google Sheets; familiarity with presentation tools is an advantage.
• Willingness to work on-site, on weekends, holidays, or extended hours when required by event schedules.
• Willingness to travel to event venues and project locations as needed.

Responsibilities

• Lead end-to-end planning, coordination, and execution of events and activations.
• Develop and maintain project timelines, event schedules, production plans, checklists, run-of-show documents, and manpower requirements.
• Coordinate with clients to confirm event requirements, deliverables, timelines, approvals, and expectations.
• Manage coordination with suppliers, venues, production teams, talents, KOLs/influencers, contractors, and other external partners.
• Conduct ocular visits and support venue assessment, ingress, setup, rehearsals, event proper, and egress.
• Assign responsibilities to event staff and ensure all teams are properly briefed before execution.
• Monitor project progress, follow up on action items, and ensure deliverables are completed within agreed timelines.
• Coordinate logistics such as equipment, transportation, manpower, materials, meals, accommodations, and other operational requirements.
• Assist in sourcing and evaluating suppliers and obtaining quotations when needed.
• Monitor project and event budgets and coordinate expenses, purchase requests, reimbursements, and supplier payments with Admin and Finance.
• Identify operational risks, prepare contingency plans, and resolve or elevate urgent concerns during live events.
• Ensure client requirements, approved concepts, and brand guidelines are properly implemented on-site.
• Maintain organized project documentation, including contracts, quotations, attendance and manpower records, receipts, approvals, and event files.
• Prepare post-event reports, completion documentation, evaluations, and recommendations for future projects.
• Perform other event- and project-related responsibilities as assigned by management.
