Job summary

Smartsourcing in Cebu City is seeking a full-time, onsite HR & Payroll Officer to support an onshore HR and payroll function, owning transactional work that keeps employees paid accurately and on time, and HR records complete and compliant. You will handle onboarding, offboarding, timekeeping, weekly payroll processing, and reporting, collaborating with the onshore team.

The ideal candidate has 1–5 years in HR administration and payroll, experience with Employment Hero, and a solid eye for data

Hi! We're Smartsourcing, and we're hiring a full-time, onsite HR & Payroll Officer to support an onshore HR and payroll function — owning the transactional work that keeps employees paid accurately and on time, and HR records complete and compliant.

About the Role

As an HR & Payroll Officer, you'll support an onshore HR and payroll function across HR administration, timekeeping, and weekly payroll. You'll administer onboarding and offboarding, maintain employee records and documentation, manage the payroll inbox, and prepare, process, and help finalise weekly payroll — collating timesheets, applying leave, correcting errors, generating reports, and coordinating sign-off and bank-file transmission. Over time, you'll become a reliable backup to the onshore team across these processes. The role suits someone accurate, organised, and confidentiality-minded, who can carry tasks through to completion with minimal supervision.

Key Responsibilities

HR Administration

• Support end-to-end onboarding and offboarding processes for employees
• Maintain and reconcile the employee asset register
• Maintain HR documentation — saving contracts, certificates, and other paperwork in the correct systems

Payroll Administration & Query Management

• Manage the payroll inbox, triaging and responding to payroll queries in a timely, professional manner
• Maintain accurate employee details within the payroll system
• Follow up with managers to obtain outstanding timesheet and leave approvals ahead of processing

Weekly Payroll Processing

• Collate, review, and prepare timesheets, payroll hours, and spreadsheets in time for processing and payment
• Ensure employee leave requests are authorised and applied in a timely manner
• Process onboarding and offboarding within payroll, working with the onshore team to have termination calculations and estimates signed off prior to review
• Review and correct payroll errors, applying all relevant loadings, deductions, and adjustments by scheduled deadlines

Payroll Review, Approval & Reporting

• Generate payroll management reports for review
• Coordinate the review and sign-off of payroll with the onshore HR team
• Ensure timely transmission of the bank file to the finance department so payroll can be processed

What You'll Need to Succeed

Experience

• 1-5 years of experience across HR Administration (onboarding/offboarding, documentation, contract and certificate management) and Payroll Administration (payroll processing, review, and approval)
• Experience with Employment Hero and Australian (AU) payroll advantageous

Skills & Behaviours

• High attention to detail and strong data accuracy
• Excellent time management, with the ability to carry tasks through to completion with minimal supervision
• Excellent written and verbal communication; confident speaking up and sharing ideas
• Confidentiality when handling employee data
• Awareness of Australian payroll obligations, including award/loading interpretation, deductions, and leave entitlements

Education

• Bachelor's degree in Human Resources, Accounting, Business Administration, or a related field preferred

Tools

• MS Excel and the wider Microsoft Office suite — proficient
• Comfortable working across payroll systems; Employment Hero experience advantageous
